Description
**Know your mission:**
* Prepare spreadsheets, presentations, and reports according to departmental requests, ensuring clear understanding of requirements to guarantee excellence and accuracy in information, as well as appropriate document formatting;
* Coordinate and organize meetings with internal departments and external clients, preparing and sending email invitations while considering participants' availability and ensuring all logistical aspects are arranged — such as meeting rooms, equipment, and other required materials. Send presentations or documents in advance to facilitate participants’ preparation, thereby ensuring meetings are effective and productive;
* Receive visitors for the department in a courteous and professional manner, accommodating them in the waiting area until their meeting or appointment begins, thus ensuring a positive first impression and warm reception for the company;
* Arrange meals for all shifts at the store, focusing on food quality and variety, verifying the quantity of available meals, and updating the employee roster;
* Accurately verify administrative expenses and operating accounts (financial result closing), ensuring all entries are posted in the correct reference month;
* Control and organize office supplies for the department and store, including PPE and uniforms; monitor inventory levels, identify needs, place purchase orders, distribute materials as required, obtain necessary approvals, and ensure materials are available when needed;
* Ensure all service providers — including maintenance contractors — are strictly registered and compliant with safety regulations, and that relevant certifications for work execution are maintained, thereby guaranteeing internal access security and Obramax’s legal compliance;
* Support store maintenance by selecting service providers and/or purchasing materials, based on submission of three quotations and approval by the store director, ensuring proper retention of legal documentation;
* Support management in overseeing third-party service providers, monitoring headcount and task assignments, ensuring daily performance meets contractual obligations.
