This role is essential for maintaining organizational structure, information flow, and the smooth execution of administrative processes. * Support the clinic’s administrative management, ensuring organized and efficient process flow. * Submit invoices and documents to the finance BPO and issue invoices (NFs) when necessary. * Procure supplies, stationery, and office materials, ensuring continuous restocking without excess. * Manage inventory levels, monitor expiration dates and minimum stock thresholds, and avoid unnecessary purchases. * Draft meeting minutes, organize schedules, and support internal processes. * Manage correspondence, deliveries, protocols, and various documents. * Monitor working hours bank, time sheets (folha-ponto), and basic HR routines, forwarding information to HR/BPO. * Organize physical and digital files, maintaining updated records and easy access to information. * Contact suppliers and service providers, conduct quotations, request maintenance services, and track deliveries. * Support basic tax and financial routines, such as organizing receipts, payments, and related documents. * Ensure proper operation of examination rooms, verifying supply replenishment, cleaning of non-clinical instruments, and providing general support to the internal team. Requirements: * Currently pursuing or having completed a bachelor’s degree in Business Administration, Financial Management, Accounting, or related fields (preferred). * Prior experience in administrative, financial, or procurement routines. * Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously. * Good communication skills for interacting with suppliers, service providers, and internal teams. * Proficiency in Excel and other digital tools. * Familiarity with invoice issuance and administrative controls. * Ability to maintain accurate, up-to-date, and highly reliable records. * Proactive, committed, and responsible attitude.
