Position: Administrative and Commercial Assistant

Key Responsibilities
General administrative tasks: Responsible for daily administrative activities of the Brazilian branch, including document organization, digital and physical archiving, meeting scheduling, and office supply management.
Bilingual communication support: Perform Portuguese-Chinese translation and interpretation; serve as the communication bridge between the local Brazilian team and the headquarters in China, ensuring smooth daily information exchange.
Commercial support and customer service: Assist in serving local customers and partners; organize customer information; track negotiation processes; and maintain strong commercial relationships.
Support for financial and corporate processes: Assist the accounting department in organizing tax documents, contracts, and materials required for audits and corporate changes, facilitating the execution of financial routines.
Schedule and travel coordination: Responsible for scheduling travel, accommodation, and transportation for the management team, as well as organizing commercial meetings and corporate events.
Business information updates: Monitor local news and regulations related to the company’s industry; compile summary reports for submission to the Chinese headquarters.
Daily operational support: Address daily operational requests from the branch; assist in coordinating inter-departmental work; and ensure stable office operations.
Requirements and Qualifications
Academic background: Bachelor’s degree completed in Business Administration, International Trade, Executive Secretarial Studies, or related fields.
Professional experience: Minimum 2 years of experience in administrative, commercial, or secretarial roles within Brazilian or multinational companies. Experience working with Chinese companies is a plus.
Languages: Native or advanced proficiency in Portuguese; fluent in Chinese (both spoken and written), capable of conducting business communication and translating official documents.
Technical skills: Proficiency in Microsoft Office suite (Excel, Word, PowerPoint); ability to organize documents and prepare simple reports.
Basic knowledge: Fundamental understanding of corporate administrative procedures and commercial routines in Brazil.
Behavioral profile: Organized, proactive, responsible, and detail-oriented. Strong communication and negotiation skills; able to work effectively in teams and adapt to a multicultural business environment.
Preferred qualification: Basic knowledge of Brazilian corporate legislation or accounting routines.
