




Job Summary: An executive assistant professional to manage schedules, prepare documents, configure equipment, and serve as a communication liaison. Key Highlights: 1. Comprehensive support to the executive leadership team and organization of essential activities. 2. Effective communication and management of confidential information. 3. Proactive problem-solving and prioritization of tasks. Main Responsibilities: Scheduling and organizing the Director's calendar, including meetings, appointments, and travel arrangements. Preparing documents, reports, and presentations; managing correspondence and physical/digital archiving. Configuring equipment for in-person meetings and online calls (videoconferences, projectors, audio systems). Providing basic pantry support (preparing coffee breaks, organizing meeting spaces, managing supply inventory). Assisting with the Director’s personal tasks (managing reservations, occasional purchases, organizing internal events). Acting as a communication liaison between the Executive Leadership Team and other departments/external vendors. Basic Requirements: Completed high school education (technical training in administration or secretarial studies is a plus). Minimum of 1 year of experience in administrative, secretarial, or executive assistance roles. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with videoconferencing tools (Zoom, Teams, Google Meet). Strong organizational skills, proactivity, and discretion when handling confidential information. Good verbal and written communication skills. Ability to prioritize tasks and resolve problems efficiently.
