




Job Summary: The professional will be responsible for reception, telephone support, document control, administrative support, and service scheduling, requiring proactivity and organization. Scheduling of services and support to the executive management **Responsibilities:** Receive, assist, and monitor visitors, clients, and suppliers at the front desk or via telephone. Receive, prepare, and control/dispatch documentation. Support inventory control of office supplies. Greet visitors, clients, and suppliers, identify them and their purposes, announce them, and direct them to the respective responsible parties. Handle telephone calls, identify the subject matter, screen calls among Customer Service, new clients, and other requests, record them, and forward them as predetermined. Receive courier packages from other units, postal mail, clients, or suppliers; sort the documentation, register it in the protocol system, and deliver it to the internal user. Prepare documents and courier packages, complete the protocol form, notify relevant parties, and deliver them for postal or third-party courier pickup according to predefined instructions. Forward the company’s opening and closing hours to the security company via email, as instructed. Support the responsible department in controlling office supply inventory, delivering items to users upon request. Provide occasional support in typing or verifying documents, as specifically requested and per predefined goals. Manage scheduling and timely execution of the company’s office boy services. Monitor company vehicle usage and mileage, recording data in a dedicated document. Track executive management mileage points. Prepare and serve coffee to the executive management. Requirements: Currently enrolled in a Technical or Bachelor’s program in Administration or related fields. Full Microsoft Office Suite: Word, Excel, Internet Outlook Strong communication skills and professional demeanor. Basic knowledge of administrative functions.
