Description
**Job Objective:**
The Purchasing Assistant is responsible for supporting the procurement process for materials and supplies, as well as monitoring supplier quality and delivery timeliness. This professional handles price quotations, supplier negotiations, purchase order issuance, and delivery tracking. Additionally, the Purchasing Assistant manages inventory control and cost analysis to ensure the quality of purchased products and optimize the company’s financial resources.
**Responsibilities**
* Conduct price quotations for materials and supplies required by the company.
* Negotiate with suppliers to secure optimal payment terms and delivery schedules.
* Issue purchase orders according to the company’s needs and approved by management.
* Monitor the delivery process of materials, verifying deadlines and receipt conditions.
* Manage inventory control, maintaining up-to-date records and identifying replenishment needs.
* Analyze procurement costs, seeking alternatives to reduce expenses without compromising product quality.
* Maintain accurate and organized records of all purchasing transactions, including contracts, invoices, and receipts.
* Support contract and documentation management, ensuring compliance with all contractual obligations.
* Collaborate with other departments to effectively and efficiently meet purchasing requirements.
* Resolve issues related to purchase orders and deliveries, acting as the primary contact point between suppliers and the company/franchisees.
* Assist in implementing purchasing policies and procedures, promoting sustainable and cost-effective procurement practices.
* Participate in cross-departmental meetings to align strategies and requirements.
* Contribute to continuous improvement of procurement processes by suggesting new practices and tools.
* Stay updated on the supplier market and industry trends, seeking partnership opportunities and innovations.
**Requirements**
* Currently pursuing or holding a bachelor’s degree in Business Administration, Dentistry, Business Management Technology, or related fields.
* Familiarity with order management, supplier management, logistics, and procurement processes is desirable.
* Familiarity with supplier qualification processes is desirable.
* Basic computer skills (Microsoft Office suite, file extensions, Windows, etc.).
* Proficiency with integrated systems and Power BI (basic level) is a plus.
