Job Summary: We are seeking a proactive Administrative Assistant to organize routines related to reservations, payments, events, and provide support to the executive team in a motivated environment. We are looking for an Administrative Assistant to join our team. Responsibilities include performing activities related to organizing reservation, payment, and event schedules, as well as supporting executive leadership needs. If you identify with this position and wish to join a motivated and continuously evolving team, apply now! **Responsibilities and Duties** * Schedule and monitor the use of the auditorium and meeting rooms; * Archive and organize company documents; * Answer all incoming calls, filtering those that can be resolved by other departments to ensure agility and better service to customers and suppliers; * Update the telephone directory and extension list; * Monitor documents sent to the notary office; * Receive visitors, clients, physicians, and suppliers, whenever necessary; * Manage Fleet Control activities; * Arrange hotel and transportation bookings (air and bus); * Draft letters, declarations, petitions, and other requested documents; * Organize meeting rooms and provide full support for events and factory visits in Rio Claro and São Paulo; * Provide direct assistance to the CEO and other Directors when required, scheduling their daily appointments, as well as arranging domestic and international business travel (airline tickets and hotel reservations); * Monitor contracts, record invoices, and track supplier payments; * Receive company mail and forward it to the relevant department; when requested, handle the dispatch/control process for outgoing mail via postal services; * Support the People & Management department in various activities, including training sessions, campaigns, and events. **Requirements and Qualifications** **Requirements and Qualifications** **Required qualifications:** * Completed high school education; **Preferred qualifications:** * Education in fields related to the functions performed (Technical, Bachelor’s, Technologist, or Professional Training courses, or similar); * Proficiency in Microsoft Office Suite; * Experience with TOTVS Datasul; * Prior experience in administrative tasks, organizational support, and leadership assistance. **Additional Information** We offer a comprehensive benefits package including: * Medical plan with co-payment for consultations and exams \- extended to legal dependents (spouse and children up to age 18); * Meal allowance; * On-site cafeteria at VÍNCULA; * Life insurance; * PPR (Profit Sharing Program) agreement; * Workplace gymnastics; * SESI (Social Service for Industry) club membership; * Dental plan; * Pharmacy card; * Partnerships with educational institutions; * Birthday day off; * Plus Care Plan (Physical and Mental Health).
