Project Assistant

Description

We are seeking a Project Assistant to support the Urban Engineering Construction Department in controlling, organizing, and coordinating technical information related to construction projects, thereby contributing to efficient project execution, reduction of rework, improved interdepartmental communication, and support for planning, quality, and operational management routines. **Responsibilities:** * Organize and control construction technical files, ensuring that drawings, revisions, specifications, details, and documents are up-to-date and available for consultation; * Control project versions, supporting verification, distribution, and retrieval of obsolete documents from construction teams, suppliers, and contractors; * Assist in compiling and updating construction notebooks, technical folders, photographic records, and monitoring documentation; * Participate in technical site visits and field inspections for data collection, measurements, and execution validations; * Assist in tracking construction and project pending items, recording status, responsible parties, deadlines, and evidence of completion; * Update spreadsheets, dashboards, and monitoring systems used by Engineering; * Support control of workfront releases, execution restrictions, and critical construction requirements; * Organize meeting minutes, meeting records, and action plans, ensuring traceability of decisions and responsibilities; * Assist in preparing materials for weekly construction, planning, and coordination meetings; * Assist in reviewing execution checklists, inspections, and quality controls; * Contribute to the lessons learned process by documenting improvements, deviations, and opportunities identified during execution in the applications used on-site; * Assist in preparing simple quantity takeoffs, surveys, and technical quotation support; * Organize supplier documentation, reports, manuals, and technical materials required for construction execution and project handover; * Ensure organization, standardization, and traceability of construction technical information.
