Your mission on the team
* Lead the company’s administrative operations, ensuring that all support infrastructure functions efficiently, organizedly, and with quality.
* Ensure excellence in contract management, supplier management, procurement, facilities, and administrative services, supporting the business’s sustainable growth.
* Manage the administrative budget, promoting cost control, resource optimization, and operational efficiency.
* Develop and lead multidisciplinary teams, fostering high performance, cross-departmental integration, and results orientation.
* Serve as a reference point for continuous process improvement, strengthening administrative governance and delivering an excellent experience for internal customers.
Main Responsibilities
* Lead teams for Reception, Cleaning and Maintenance, Information Technology (IT), and Procurement, monitoring performance, development, and productivity.
* Ensure the proper functioning of the company’s administrative infrastructure, guaranteeing efficiency of support services for internal departments.
* Manage administrative contracts, suppliers, facilities, assets, corporate insurance, telephony, internet, infrastructure, equipment leasing, and building administration.
* Plan, monitor, and control the administrative budget, performing budget management (budgeted vs. actual), fixed costs, variable costs, and administrative expenses.
* Conduct administrative procurement processes, supplier negotiation, and supplier development, aiming to reduce costs and improve service levels.
* Control inventory of administrative supplies and ensure operational replenishment.
* Monitor performance indicators such as supplier SLAs, savings, operational efficiency, administrative cost per unit, and internal request response times.
* Collaborate with other company departments, ensuring administrative support, continuous process improvement, and operational excellence.
What We Are Looking For
* Completed Bachelor’s degree in Administration, Production Engineering, Business Management, or related fields.
* Experience in administrative coordination, leading multidisciplinary teams and administrative operations.
* Experience in contract management, supplier management, procurement, facilities, and general services administration.
* Experience in budget management, cost control, performance indicators, and supplier negotiation.
* Intermediate or advanced Excel knowledge; ERP system experience is desirable.
* Organized, analytical profile with strong planning and priority management capabilities.
* Excellent communication skills, negotiation ability, and relationship-building capacity across diverse departments and partners.
* Ability to operate effectively in a dynamic environment, managing multiple concurrent demands.
* Owner mindset, systemic vision, decision-making capability, and results orientation.
