FACILITIES AND SECURITY SUPERVISOR

Description

Ensure continuity, quality, and efficiency of Facilities and Physical Security services at Portocel by managing contracts, routines, KPIs, budget, and controls, as well as supervising monitoring systems and access control systems, thereby ensuring quality standards, regulatory compliance, and asset protection for administrative and operational areas. * Manage Facilities and Physical Security contracts by negotiating, formalizing scopes, SLAs, and measurement criteria with suppliers to ensure continuous delivery meeting quality, cost, and schedule requirements. * Ensure contractual compliance by monitoring deadlines, requirements, evidence of execution, price adjustments, and supplier performance monthly to mitigate risks, prevent non-conformities, and ensure service governance. * Track departmental KPIs (Facilities and Security) by consolidating data, analyzing deviations, and proposing action plans jointly with responsible personnel and suppliers weekly to elevate service levels, support decision-making, and sustain continuous improvement. * Plan and control the department’s budget by preparing forecasts, classifying expenses, tracking actual vs. budgeted expenditures, and prioritizing demands monthly to maintain financial balance and ensure coverage of critical services. * Develop and implement cost-control strategies by identifying opportunities, renegotiating scopes, reducing waste, and adjusting consumption/service routines quarterly to optimize expenses without compromising quality and enhance operational efficiency. * Supervise internal cafeteria operations and food service contracts by monitoring supplier routines, service standards, and adherence to agreed controls daily to ensure appropriate service for internal stakeholders and compliance with defined requirements. * Manage cleaning and landscaping contracts and routines by validating schedules, execution quality, and handling non-conformities with suppliers weekly to ensure preservation, appearance, and functionality of site environments. * Review and maintain Facilities and Physical Security procedures by standardizing workflows, responsibilities, records, and operational guidelines periodically to ensure predictability, compliance, and reduced execution errors. * Supervise monitoring systems, access control systems, and security routines by verifying functionality, recordkeeping, incident handling, and procedural adherence daily to protect people, assets, and information and reduce site vulnerabilities. * Manage Physical Security suppliers and contracts by monitoring performance, shift/rotation schedules (where applicable), KPIs, and action plans monthly to ensure adequate coverage and effectiveness of security and access controls. * Evaluate Facilities performance outcomes by comparing targets against actual results, analyzing root causes of deviations, and formalizing improvements monthly to sustain performance evolution, perceived quality, and service efficiency. * Suggest business improvements and opportunities by mapping bottlenecks, risks, and opportunities for standardization/automation/renegotiation to continuously elevate service levels, reduce costs, and strengthen controls and governance. * Manage compliance with the ISPS Code (International Ship and Port Facility Security Code) by ensuring implementation of port security plans, access control, monitoring of restricted areas, incident management, and coordination with authorities and regulatory bodies to continuously guarantee legal compliance, integrity of port operations, and protection of personnel, cargo, and assets.
