For this role, your mission will be to ensure administrative efficiency, document control, and operational support for the Commercial Department—guaranteeing that proposals, contracts, KPIs, and internal routines are executed with quality, within deadlines, and in compliance with Makro’s performance, compliance, and governance standards. Act as a liaison between Commercial, Operations, CCO, Controlling, and other departments to ensure seamless information flow. We can’t wait to find out if it’s you! **Responsibilities and Duties** * Coordinate all administrative routines supporting the commercial cycle; * Organize, standardize, and ensure updates to commercial templates (proposals, presentations, RACI charts, risk matrices, cost breakdowns, etc.). * Manage the commercial deliverables calendar, BID deadlines, and internal schedules. * Ensure all documents adhere to Makro’s quality and branding standards. * Develop structured commercial presentations for clients (including renewals and BIDs). * Support operational pricing (data queries, references, historical data)—without making pricing decisions, which remain under Controlling’s responsibility. * Ensure archiving, version control, and management of contracts, amendments, renewals, and validity periods. * Maintain an updated commercial pipeline with status per client. * Interface with Legal and Contract Management teams for clause reviews, amendments, and draft analyses. * Control and organize mandatory documents required for client registration, qualification, and compliance. * Consolidate commercial KPIs (proposal volume, conversion rate, timelines, accuracy, renewals, etc.). * Prepare executive dashboards and reports for senior management (weekly and monthly). * Organize databases of proposal and contract histories for quick reference. * Support performance measurement for commercial executives and the sales funnel. * Lead the commercial administrative team, ensuring efficiency, morale, and alignment. * Conduct internal rituals (weekly forum, proposal follow-ups, pipeline follow-ups). * Monitor adherence to internal SLAs between Commercial and Controlling. * Ensure organization and standardization of commercial files, processes, and folders. * Guarantee compliance with Makro’s internal processes and applicable ISO standards. * Ensure formal commercial approval workflows are followed. * Reduce rework, discrepancies, and errors in document submissions to clients. **Requirements and Qualifications** Bachelor’s degree in Business Administration, Accounting, or Actuarial Sciences. **Knowledge (Hard Skills):** Strong expertise in administrative processes and commercial routines. Intermediate/advanced proficiency in Excel and Power BI. Ability to read and analyze technical proposals and contracts. Documentation organization and file governance. Executive writing and assertive communication. Knowledge of cargo handling, cranes, and equipment markets (desirable). **Skills/Attitudes (Soft Skills):** High level of organization and discipline.
