If you identify with our purpose, let’s imagine and engineer the future—together? **Responsibilities and Duties** **Summary Description:** The role of a **Document Archivist** on a project is to ensure the **management, control, traceability, and integrity of all technical and contractual documentation** throughout the project lifecycle—from engineering through final delivery. The archivist serves as the responsible party for **project document management**, ensuring all information is: organized, up-to-date, accessible, and compliant with contractual and regulatory requirements. **Detailed Description:** * Design and implement the project’s document management system (EDMS), defining standards for coding, revision, classification, and document workflows; * Control and administer all technical documentation (drawings, specifications, reports), ensuring correct versioning and use of current revisions; * Manage the issuance, receipt, and approval workflow of documents among engineering, suppliers, and clients, ensuring adherence to deadlines; * Collaborate closely with engineering, planning, procurement, and construction teams to align documentation with execution; * Ensure compliance with contractual requirements, technical standards, and audits, maintaining full traceability of information; * Consolidate and organize the project’s final Data Book, including manuals, certificates, and handover dossiers for the client; * Monitor document performance indicators (approval timelines, rework, volume), proposing improvements to enhance project efficiency and control. **Requirements and Qualifications** **Basic Requirements:** * Technical or undergraduate degree in Archival Science, Administration, Engineering, Library Science, or related fields; * Proven experience in **industrial project document management** (preferably greenfield); * Knowledge of Electronic Document Management Systems (**EDMS**) such as SharePoint, Aconex, or Procore; * Proficiency in revision control, document coding, and approval workflows (workflow); * Familiarity with engineering technical documentation (drawings, specifications, data books); * Knowledge of contractual requirements and document audit practices; * Organizational skills, attention to detail, and discipline in process execution; * Intermediate English proficiency. **Preferred Qualifications:** * Fluent English (ability to interact with international clients, suppliers, and auditors) * Experience in **end-to-end EDMS implementation** (greenfield), including taxonomy and workflow definition * Experience in large-scale projects (high CAPEX) with high-volume documentation * Strong ability to **organize and standardize in unstructured environments** * Ability to **anticipate document bottlenecks** and proactively engage with functional areas * Experience with **document integration with planning and engineering (interface with AWP/BIM)** * Proficiency in **Power BI or analytics tools** for dashboard and KPI development * Communication skills to engage effectively with multiple stakeholders (field, engineering, and client) * Resilient profile with strong pressure and tight-deadline management * Critical mindset to reduce rework and improve document workflow efficiency **Additional Information** **Position Characteristics:** * Employment Type: Regular office * Work Location: São Gonçalo do Amarante \- CE * Working Hours: 44 hours per week **Benefits Included in This Position:** * Health insurance * Dental insurance * Life insurance * Transportation allowance * Meal allowance * TotalPass membership Discounts and partnerships with various educational institutions * At Timenow, we believe in the power of ideas—and even more so, in the ability to turn them into reality.
