Description
Our administrative role is the office position at Ô de Casa, and we seek detail-oriented individuals who are passionate about continuously improving back-office processes to ensure the magic and smoothness of front-line operations. This role requires organization, sales and communication skills, appreciation for routine, attention to detail, and empathy toward people. The position entails 70% of your time dedicated to pre- and post-stay customer service \- (much of it involves sales!), 25% in Human Resources administration, and 5% supporting leadership with occasional requests.
**JOB RESPONSIBILITIES:**
* Remote omnichannel customer service (e\-mail, asksuite, phone, and other platforms), adhering to response time standards and creating follow\-ups to optimize sales
* Reservation management aimed at maximizing occupancy and providing thorough details to the front desk team
* Liaison with OTAs (booking.com, hostelworld, and others); managing payments, pre\-authorizations, and refunds (standard and non\-refundable reservations)
* Internal team communication and coordination of internal events
* Conducting interviews, recruiting, and managing job applications across all company departments; personnel selection, onboarding, tracking (vacations, medical certificates, absences…), and offboarding; cultural orientation and uniform distribution; timekeeping and banked hours management, payroll processing, and other HR department routines
* Providing administrative support to other departments, including procurement, budgeting, spreadsheets, and other ad\-hoc tasks.
**REQUIREMENTS AND QUALIFICATIONS**
* Sales skills and techniques
* Ability to learn quickly; organizational skills, attention to detail, and autonomy; strong written communication (Portuguese and English)
* Excellent interpersonal and group communication skills
* Responsibility regarding financial data and confidentiality
* Ability to manage monthly deadlines and administrative routines
* Availability to support leadership
* Skill in designing simple operational processes
* Prior experience in operational HR routines is desirable; prior experience in hotel/reservation departments is also desirable; education in fields related to this role is preferred.
**ADDITIONAL INFORMATION**
* Schedule: Monday to Friday, 9:00 AM to 6:00 PM (with a 1-hour lunch break)
* Work model: Hybrid — mostly in\-office with 1 day of remote work per week
* Salary: R$2360 CLT or R$2800 PJ \+ sales commissions and performance incentives (currently averaging R$1000.00/month).
