A consulting, recruitment, and selection company is seeking an Administrative Assistant in Barueri.

**Responsibilities:**
Draft legal documents based on institutional templates (service agreements, technical consultancy agreements, addendums, termination agreements, various terms). Conduct due diligence and document verification for suppliers during procurement processes. Support onboarding and offboarding processes (collection and verification of documents, registration, file organization, onboarding support for new employees). Assist in verifying payroll information. Monitor vacation scheduling. Support benefits administration and procurement (meal vouchers/food allowance, medical and dental assistance, life insurance, TotalPass, among others). Control and schedule admission, periodic, and dismissal medical examinations. Monitor renewal of mandatory occupational safety reports (PCMSO, PGR). Support management of service agreements and recurring signatures (e.g., digital platforms, software, administrative services). Organize physical and digital files in Google Drive environment. Assist in verifying accounts payable entries. Support and monitor accounts receivable. Submit documents for tax review and verify tax withholdings. Support bank reconciliation for the institute’s accounts. Support expense classification and allocation by cost center and project. Support monthly financial closing, including preparation of management reports and key indicators for executive leadership. Submit documentation for accounting closing. Support monthly verification of general ledger and trial balance reports. Monitor budget management (budgeted vs. actual). Support accountability reporting to funders and donors. Organize documents for external financial audit. Control corporate credit card expenses. Control and verify reimbursements for partners and employees. Update the specialized third-sector management system: Ongsys.
Previous experience as Administrative Assistant, Office Assistant, Executive Secretary, or Administrative Coordinator may indicate alignment with some responsibilities of this position.
Bachelor’s degree required. Relevant experience required.
