Description
Job Identification
* **Position:** Project Analyst Sr
* **Area:** PDO / PMO / Projects / Operations
* **Level:** Analyst
* **Reports To:** Project Manager / PMO Lead
Job Mission
Ensure visibility, organization, and control over project execution by supporting planning, monitoring, and communication so that timelines, scope, costs, and risks are tracked in a structured, predictable, and reliable manner—enabling data-driven managerial decisions.
Responsibilities
1. Supporting PMO Structuring
* Map how projects are currently executed (e.g., product development, client implementations, integrations, etc.) and identify gaps and improvement opportunities.
Help define and document:
+ the company’s standard project flow (idea → approval → execution → delivery* + lessons learned);
+ basic templates (project canvas, project plan, status report template, risk register).
* Assist in defining governance routines (status meetings, project committee, reporting cadence to executive leadership).
* Support internal evangelization of project processes: explain, train, simplify, and facilitate adoption by technical and business teams.
2. Direct Management of Strategic Projects
* Assume ownership of specific projects.
* Develop and maintain the project plan (scope, milestones, deadlines, responsibilities, risks, budget where applicable).
* Lead kick-off, progress, and closure meetings, ensuring alignment among all stakeholders.
* Monitor deadlines, risks, issues, and dependencies, proposing corrective actions when necessary and escalating problems appropriately.
3. Reporting and Portfolio Visibility
* Produce status reports for projects under your responsibility (and others, where relevant), with clear visibility into:
+ current phase;
+ key deliverables;
+ risks/impediments;
+ next steps.
* Support leaders and executives in building a consolidated portfolio view (ongoing projects, prioritization, team capacity).
* Use data (timelines, delivery adherence, rework, etc.) to suggest improvements to the project management process.
4. Continuous Improvement and Scalability
* Collect feedback from teams and stakeholders regarding project management processes and adopted tools.
* Propose adjustments and simplifications to ensure the PMO remains lightweight, agile, and aligned with startup realities (avoiding excessive bureaucracy).
* Research market best practices in project management at technology/IoT companies and bring insights to evolve the PMO.
Technical Competencies
* Experience managing IT/Product/IoT projects, such as:
+ software platform development and evolution;
+ IoT solution deployments at client sites (field projects/onboarding);
+ integrations with third-party systems (CRMs, data platforms, security systems, etc.).
* Knowledge of project management methodologies:
+ ability to operate in a hybrid mode: more structured planning (inspired by PMBOK/Prince2) combined with agile execution (Scrum/Kanban).
* Proficiency in project management tools such as Jira, Trello, Asana, MS Project or similar, plus strong Excel/Sheets and PowerPoint/Slides skills for reporting and presentations.
* Ability to structure and maintain project documentation (scope, schedule, risks, dependencies, meeting minutes, status reports).
* Aptitude for gathering, analyzing, and consolidating project and portfolio metrics (timelines, costs, risks, deliverables, team capacity).
* **Differentiators:**
+ prior experience in **startups** or rapidly scaling companies;
+ familiarity with **IoT**, connectivity, sensors, telemetry, or field projects;
+ certifications or courses in Project Management (CAPM, PMP, Scrum, etc.).
Behavioral Competencies
* Comfortable operating in evolving organizational structures, maturing processes, and shifting priorities.
* Ability to bring order to dynamic environments—structuring information, schedules, and tracking clearly.
* Skill in communicating with technical teams (developers, IoT engineers, data engineers, security engineers) and business areas (sales, operations, leadership), adapting language accordingly.
* Proactive mindset: seeking problems, proposing solutions—not merely awaiting direction; sense of “ownership” over projects and deliverables.
* Ability to manage multiple concurrent projects with competing deadlines and demands without losing control.
* Composure when handling scope changes, course corrections, and typical challenges of innovation and rapid growth.
* Ability to engage people across different departments to meet deadlines and deliverables—even without direct managerial authority.
Education and Experience
* Bachelor’s degree in Business Administration, Engineering, Information Systems, Computer Science, or related fields.
* Postgraduate studies or courses in Project Management, PMO, Agile, or related areas are a plus but not mandatory.
