Job Summary: A professional responsible for organizing, setting up, and providing operational support for events, ensuring participant satisfaction and smooth activity execution. Key Highlights: 1. Organization and setup of event venues and equipment. 2. Support for speakers, exhibitors, and participants. 3. Coordination with internal departments for operational adjustments. · Arrange rooms, auditoriums, and outdoor areas according to the layout defined by the client or event coordination. · Set up tables, chairs, stages, booths, and signage. · Test and organize audio, lighting, and audiovisual equipment, engaging technical staff when necessary. · Monitor the event schedule and remain available to respond to immediate requests. · Assist speakers, exhibitors, and organizers in using equipment and materials. · Manage participant entry and exit, supporting reception as requested. · Ensure timely replenishment of support materials (notepads, pens, bottled water, coffee breaks, promotional items). · Clarify participant inquiries regarding schedules, room locations, and resort facilities. · Maintain a courteous, attentive, and professional demeanor in all interactions. · Support vendor arrivals (catering, decoration, audiovisual) and supervise setup activities. · Ensure vendors comply with internal safety protocols and agreed-upon deadlines. · Coordinate with internal departments (Housekeeping & Banquet, Governance, Maintenance, Security) for operational adjustments during events. · Verify availability of equipment (flip charts, microphones, projectors). · Request replenishment of supplies and ensure proper maintenance of departmental assets. · Assist in dismantling and reorganizing spaces, restoring them to ready-to-use condition. · Support collection of feedback from clients and participants. Complete incident reports and assist in analyzing improvements for future events.
