**Responsibilities:**
* Monitor administrative processes, providing departmental support; preparing spreadsheets; reviewing and archiving documents; tracking deadlines; locating and monitoring processes and notifications;
* Register incoming and outgoing documents, sorting them, verifying data and dates, distributing them to recipients, issuing documents, and arranging necessary signatures;
* Review documents to identify irregularities, verify calculations, classify, and archive them;
* Update various control records by conducting data surveys and verifications, comparing and evaluating information to meet departmental needs and support managerial decision-making and analysis;
* Monitor contract expiration dates, adhering to organizational rules and procedures, investigating possible amendments to agreed terms between parties, aiming to safeguard organizational interests;
* Verify and enter documents and information into company systems;
* Draft and complete documents; prepare addenda; amend contractual clauses; type texts and spreadsheets; update registrations; fill out forms; draft memoranda; issue official letters and memorandums per instructions received;
* Prepare reports, forms, and spreadsheets by collecting information and verifying indices and indicators;
* Develop calculation spreadsheets, organizational charts, flowcharts, as well as various reports and presentations;
* Provide work-related information under supervision, following guidance from immediate supervisor;
* Manage consumables and office supplies, verifying available quantities, completing requisitions, and requesting replenishment from the responsible department;
* Manage dispatch and receipt of mail pouches and correspondence, recording information in pre-established control logs and performing protocol registration when required;
* Provide service to the public and organizational staff, taking necessary actions for relevant matters;
* Perform other duties inherent to the position or assigned at the discretion of the immediate supervisor, provided the employee is qualified and such duties align with their knowledge and experience;
* Comply with Quality, Safety, Environment, and Social Responsibility standards and procedures.
**Requirements and Qualifications:**
* Completed high school education;
* Preferred: Currently enrolled in or graduated from a bachelor’s degree program;
* Intermediate Microsoft Office proficiency.
