Support in organizing and standardizing contractual materials and tools **Work Location:** Salvador\-BA. **Employment Type/Work Schedule:** CLT / 40 hours per week **Job Mission:** Ensure technical\-administrative management of contracts, agreements, and other partnership instruments linked to funded projects, through control of obligations and deadlines, documentary organization, consolidation of technical and financial inputs, and structuring of accountability reports and other contractual deliverables, thereby contributing to compliance, quality, and efficiency of contractual execution. **Scope:** * Responsible for the technical\-administrative management of contracts, agreements, and other partnership instruments for funded projects, covering control of obligations and deadlines, maintenance and organization of contractual documentation, consolidation of narrative and financial inputs, and preparation of accountability report packages and other contractual deliverables. * Works based on information provided by the project coordination and the finance department. The Contract Administrator will participate in internal and external training sessions whenever deemed necessary by the Executive Directorate, aiming at continuous improvement of competencies. A proactive attitude is expected in seeking institutional knowledge—including organizational history, key achievements, and Humana Brasil’s activities—as well as understanding the context and operations of the Human People to People Federation. This initiative complements integration processes and contributes to improved performance and alignment with the organization. The professional will be part of Humana Brasil’s team of Contract Administrators, collaborating with colleagues located in various regions. Preparation for this collaborative team-based work model is essential. **Main Responsibilities:** * Develop and maintain the contract calendar (internal and external), including internal delivery deadlines, reports, evaluations, visits, and annual plans to be submitted to the partner. * Coordinate with other organizational departments to ensure timely and high-quality receipt of inputs required for accountability reporting and partner reports. * Organize and conduct contract handover and full documentation transfer, ensuring integrity and traceability. * Prepare contract approval format and submit it to the Executive Director. * Participate in start\-up/kick\-off meetings, establishing routines, workflows, and responsibilities for initiating the partnership according to assigned duties. * Participate in contract closure (close\-out), as per assigned duties. * Coordinate with coordinators to align team responsibilities across the reporting and contractual deliverables chain. * Support structuring, organizing, and standardizing contractual materials, workflows, and tools—including report templates, data flows, collection instruments, consolidation frameworks, and references for monitoring and evaluation—in coordination with the Holder, coordinators, and other competent departments. * Work with project coordinators and their teams to ensure data quality, methodological consistency, and technical quality of reports submitted to the partner. * Ensure timely availability of final report versions to coordinators and other departments, including observations and supporting materials for analysis and planning sessions. * Attend monitoring meetings when convened. * Organize supporting documentation, evaluations (including Terms of Reference (ToR)), consultancy follow-up, and timely delivery of products for Holder validation. * Maintain files and backups on Humana Brasil’s secure server (narrative/financial reports and communications), ensuring version control, integrity, and traceability. * Support organizing and monitoring budget allocation linked to budget lines and contractual deliverables, in coordination with the administrative\-finance department and project coordination. **Desirable Qualifications:** * Organization, planning, and deadline management: ability to structure workflows, define priorities, monitor schedules, track contractual obligations, and maintain organized and up-to-date documentation, records, and information. * Basic knowledge of applicable legislation: familiarity with MROSC, Law No. 13\.019/2014, regulatory decrees, state and municipal regulations, and other applicable references governing partnership management, administrative contracts, and accountability reporting. * Technical analysis and attention to detail: ability to review documents, analyze contractual clauses, work plans, addenda, reports, and accountability submissions—identifying inconsistencies, pending items, and necessary adjustments. * Systematization and information control: ability to consolidate data and documents, prepare spreadsheets, technical reports, checklists, and monitoring tools, ensuring traceability, integrity, and updating of internal controls. * Communication and intersectoral coordination: ability to communicate clearly and objectively, and collaborate effectively with coordinations, technical, administrative, and finance departments, promoting alignment of workflows and responsibilities. * Problem solving and results orientation: ability to analyze situations, propose feasible solutions, and act with focus on meeting deadlines, targets, and quality standards. * Adaptability and performance under pressure: ability to respond appropriately to changes, simultaneous demands, and contexts requiring higher levels of rigor, while preserving consistency and quality of deliverables. * Integrity, professional confidentiality, and institutional alignment: ethical, trustworthy conduct compatible with handling sensitive information, in accordance with the “Shoulder to Shoulder” work philosophy and the values and objectives of the Human People to People Association Brazil.
