Review the profile below and apply! **Education** Completed or ongoing undergraduate degree in Business Administration, Secretarial Studies, or related fields **Required Experience** Experience in executive secretarial roles **Required Technical Skills** * Practical knowledge of customer service and executive secretarial functions; * Practical knowledge of grammar and business writing; * Microsoft Office Suite. **Responsibilities** * Support planning and organization of the executive leadership team’s daily corporate and personal activities; * Assist and manage information, reminders, emails, appointments, and other tasks for the executive leadership team; * Track pending items from other departments or colleagues related to the executive leadership team, ensure actions are carried out, and provide feedback; * Manage scheduling and internal communication between the executive leadership team and departments or other colleagues; * Handle external commercial scheduling and communication; * Receive and process scheduling requests from external parties—including suppliers, partners, candidates, and others—regarding the executive leadership team; * Organize events, workshops, and business meetings, including managing invitations, mass email distribution, and attendance confirmations; * Answer calls and receive visitors (clients, suppliers, or colleagues) in person, ensuring courteous reception and proper routing—such as providing water and coffee; * Coordinate and integrate the executive leadership team’s schedule with external parties—including suppliers, partners, candidates, and others; * Manage and support the executive leadership team’s commemorative calendars—for example, client and employee birthdays—to enhance communication; * Support client and employee incentive programs and gift distribution, including procurement and delivery per executive leadership team instructions; * Review and verify documents prior to executive leadership team signature; * Arrange and book travel—including flights, accommodations, and logistics—for the executive leadership team; * Organize and attend board meetings when required; * Request procurement and quotations for equipment, supplies, and materials needed for your department or requested by the executive leadership team; * Control and store documents, contracts, physical correspondence, and other materials; * Register and file correspondence and documents relevant to the executive leadership team **Soft Skills** * Proactivity; * Assertive Communication; * Responsibility; * Negotiation; * Interpersonal Relationships; * Organization and Planning; * Adaptability and Flexibility; * Systems Thinking; * Confidentiality and Discretion. **Employment Contract Information** * Salary: To be determined according to Career Development Plan * Working Hours: 40 hours/week — Monday to Friday — 8:00 AM to 12:00 PM / 2:00 PM to 6:00 PM **Benefits:** * Meal Allowance (R$ 620.00) * Bradesco Health/Dental Plan (50% employer-paid, no co-payment) * Career Development Plan **Work Location:** On-site — Palmas-TO ### **Department:** CRP Tecnologia
