Applies to all direct employees, third-party/service providers, interns, and apprentices attended at the outpatient clinic. Administrative Routine and File Management 1. Folders and files – Follow step-by-step instructions for folders containing the most frequently used files. 2. Organize distribution of safety glasses. 3. SDS (Safety Data Sheets) – Digitize and submit SDS for analysis and signature by the occupational physician. 4. Medications – Maintain inventory control of medications. Record administration of medications to employees. 5. Medical certificates – Organize medical certificates in patient records. Type medical certificates into spreadsheets as needed. 6. Archive storage – Manage patient records stored in archive storage and locate them upon request. 7. Medical appointments and occupational examinations Manage medical appointment scheduling and record entries in the designated logbook; verify requirements per PCMSO; schedule and monitor completion of periodic examinations; issue and file ASOs (Occupational Health Certificates). Follow the company’s established contingency plan. Work-related accidents – Notify Occupational Safety. Examinations, medical certificates, and leave of absence: Verify need for evaluation based on ICD diagnosis codes. Refer employee to consultation with occupational physician upon return to work. INSS (National Social Security Institute) leave of absence: * Follow internal company guidelines for: * Issuance of documents; * Communication with HR; * Updating of patient records.
