Description
Ensure that established standards, processes, and procedures are consistently followed by all teams and individuals involved in the organization's activity cycle; monitor corrective actions and communicate them, along with their outcomes, appropriately across the organization; maintain company documents always at their most current version; keep the company updated regarding national and international regulatory bodies.
**Responsibilities and Duties**
Manage the quality software system, maintaining system configuration including access permissions, roles, user registration and deactivation, approval workflows, etc.;
Manage internal documents across all departments (guidelines, procedures, and forms) within an electronic system, including critical evaluation, review, and approval, as well as notifications of published documents and follow-ups on pending reviews and approvals;
Compile and format internal company documents to ensure standardization across all documents;
Support departments in developing new internal documents;
Manage contracts for the department, covering budgeting, contracting, monitoring, payment, validity period, and renewal, subject to supervision approval;
Control and update external documents (standards, legislation, etc.) in the electronic system, periodically assessing their currency and keeping the company informed of legislative changes issued by regulatory agencies;
Store all documents related to licenses and permits issued by agencies such as SEMA, ANVISA, ANP, MAPA, CREA, CRQ, CRMV, Brazilian Army, Federal Police, Military Fire Department, Municipal Prefecture, ANEEL, FDA, Ministry of Labor (NRs), among other governmental and non-governmental bodies, as well as certifications including ISO, Kosher, Halal, BEA, Renovabio, etc. Issue notifications regarding validity periods and renewals;
Actively participate in obtaining company licenses and certifications and in maintaining them;
Engage directly with Production, Operations, Commercial, Logistics, Maintenance, and Administrative Departments;
Prepare reports and issue notifications to legal authorities such as ANP, SEMA, ANEEL, Federal Police, Brazilian Army, Military Fire Department, and others;
Implement activities and documents required to meet legal, certification, and customer requirements, as well as prepare for audits;
Monitor and support internal and external audits (certification, maintenance, customer, etc.), guiding participating departments on recommendations for addressing audit-identified non-conformities or implementing preventive measures;
Manage non-conformities, supporting and monitoring departments in determining root causes, developing action plans, and tracking evidence of implemented actions;
Analyze internal procedures related to the quality assurance system, describing criteria compliant with Halal/Kosher/ISO 9001/GMP certification standards;
Verify, monitor, and assist in implementing the equipment and instrument calibration plan for factory facilities, laboratories, and other impact areas, evaluating history, deadlines, traceability, and calibration reports, and reporting discrepancies to the responsible department to ensure compliance with legislation and certifications;
Monitor the preventive and corrective maintenance plan to ensure adherence to scheduled frequencies, route completion, and certification requirements;
Inspect the supplier management system for critical products and services, including outsourced providers, evaluating compliance and validity of mandatory documentation from the company, products, services, and personnel, reporting discrepancies to responsible parties and following up until resolution;
Periodically evaluate the receipt process for critical products and raw materials, verifying the procedure on-site as well as its documentation, and reporting discrepancies or non-compliance to responsible parties;
Monitor and inspect ingredient certificates and declarations to ensure Halal and Kosher compliance;
Monitor and support implementation of customer satisfaction surveys to meet regulatory requirements;
Inspect compliance with employee competency requirements per the competency matrix, report gaps to the responsible department, and follow up until resolution;
Inspect compliance with the Quality Plan, verifying internal and external analyses, process monitoring, raw material and final product assessments against established limits defined in internal technical specifications, customer requirements, legislation, and certifications, reporting discrepancies to responsible parties and following up until resolution;
Monitor quality of primary and secondary products;
Inspect water potability analysis reports, verifying regulatory compliance and reporting discrepancies to responsible parties, following up until resolution;
Inspect effluent treatment analysis reports and waste certificates and manifests, verifying regulatory compliance and reporting discrepancies to responsible parties, following up until resolution;
Periodically assess compliance with mandatory training programs (SOPs, GMP, Halal, Kosher, ISO, NRs, PCC, etc.), including attendance frequency;
Conduct training on internal quality programs and relevant standards applicable to certification scopes;
Onboard new employees into the quality function, orienting them on internal quality standards, certifications, ISOs, and GMP;
Monitor the change management process;
Manage the risk management system (threats and opportunities), supporting and monitoring departments in identifying, registering, and conducting periodic analyses as needed. Critically evaluate analyses, track pending items, and request corrections when necessary;
Manage company performance indicators, supporting and monitoring departments in identifying, registering, and entering data; critically evaluate the system, track pending items and results, and propose improvements when needed;
Inspect departmental procedure and activity management systems to identify compliance issues and provide guidance on operational, process, and reporting failures, among others;
Conduct on-site inspections of the production process, evaluating GMP, 5S, ISO 9001, etc.;
Inspect construction site organization and prepare reports documenting identified occurrences;
Verify, validate, and archive ARTs (Technical Responsibility Annotations);
Perform documentary analysis of the integrated pest control program, including company documents, employee records, and chemical products used, ensuring regulatory compliance;
Conduct on-site inspections of pest control program implementation and prepare reports documenting identified occurrences;
Safeguard company assets and promote maintenance of departmental machinery and equipment;
Prepare reports on process incidents, relaying information to the Quality Supervision, Quality Coordinator, and Industrial and Administrative Management;
Manage conflict situations;
Communicate bilaterally with supervisors and managers to keep the entire team updated on progress, the organization’s strategic planning, and potential process deviations;
Analyze and respond to customer service complaints;
Perform job duties in full compliance with the organization’s occupational safety, health, and environmental regulations and procedures, and consistently use all mandatory personal protective equipment (PPE) required for performing job and departmental tasks. Responsible for immediately notifying the immediate supervisor of any activity posing a risk to one’s own health or that of fellow workers;
Carry out duties in alignment with the company’s values, policies, guidelines, procedures, and processes, always focusing on organizational goals and maintaining confidentiality and protection of company information;
Maintain discipline under the 5S program, aiming for safe work through workplace organization, standardization, and cleanliness;
Safeguard company property under one’s responsibility and immediately inform the immediate supervisor of any problems or damage detected.
