




**Description** Responsible for performing administrative activities for VMI’s Operations Department, ensuring that departmental routines are carried out through coordinated interaction between Operations Management and internal stakeholders. Additionally, responsible for providing immediate support to the Department’s Management to achieve established internal goals and ensure direct customer satisfaction. **Key Responsibilities** * Serve as the interface between Operations Management and HR in monitoring recruitment and selection processes, ensuring confirmation of dates and progression of stages. * Enter and monitor departmental purchase orders until full execution. * Assist in daily timekeeping verification for field employees, ensuring prompt correction of discrepancies. * Support the interface between Operations and Payroll to ensure accurate benefits closure (meal vouchers, food baskets, health insurance, transportation vouchers). * Coordinate vacation planning between Operations and Payroll, ensuring compliance with procedural steps. * Monitor and control the procurement and delivery of commemorative gifts in accordance with the Operations budget. * Assist in validating the monthly budget by comparing planned versus actual expenses and analyzing variances. * Collaborate with the Occupational Health and Safety (SSO) team to ensure all employees have up-to-date uniforms, personal protective equipment (PPE), and records. * Verify customer billing measurements, cross-referencing amounts against contracts and validating deductions. * Develop supporting tables and spreadsheets for Operations processes. * Draft and review, together with Operations Coordination, operational and administrative procedures, registering them in the Quality Management System (SGQ) upon approval. * Support procurement of materials and supplies used by the department. * Participate in internal and external audits related to the Operations Department. * Assist in handling internal non-conformities within the department. * Provide support for departmental administrative activities and perform related tasks in emergency situations when authorized. **Requirements** Currently enrolled in a Bachelor’s degree program in Administration, Accounting, Human Resources, or related fields. Previous experience in administrative support roles; Strong communication, teamwork, and writing skills; Proficiency in Microsoft Office suite. Work location: Lagoa Santa (On-site) Monday to Friday (7:30 AM – 5:18 PM)
