Administrative Assistant - Aracruz ES - Position also available for PwD

Perform administrative and support activities, entering data into the company's system, issuing requests, recording or entering information, ensuring that the quality of work remains consistently within standards and in accordance with company procedures. **Responsibilities and duties** * Arrange, through the responsible department, purchase requests for cleaning, hygiene, and other products required by branch sectors, and coordinate submission to headquarters for purchase order generation; * Participate in inspections and quality practices related to the 5S program; * Perform external services at banks, post offices, and others; * Prepare meeting reports for managers, specifying: topics discussed, participating departments, and the responsible manager's name; * Provide assistance and support to branch employees, supplying information or requesting clarifications from headquarters regarding medical and dental plan matters; * Assist in controlling the branch cash fund, arranging payments for expenses approved by management; * Generate reports, spreadsheets, and forms through the system to support various branch routines; * Contact responsible departments to request repair services for printing machines, IT equipment, and others; * Verify freight bills issued to customers, checking if charges comply with existing commercial rates and reporting any irregularities when necessary; * Generate shipment reports to customers through the system; * Create delivery protocols, preparing proof of delivery documents and classifying them by type: raw materials, maintenance, sales, manufacturer round trips, and others, for customer billing purposes; * Review the pallet movement report to issue invoices via system based on load/unload quantities, movements, and hazardous handling, for billing additional services performed for the customer; * Support recruitment and selection processes by reviewing resumes, checking references, and scheduling candidates for practical, toxicology, and other tests; * Assist in managing hiring and termination processes according to the company's established schedule, for settlement purposes with labor unions, and monitor the progress of Human Resources documentation, requesting signatures, approvals, data entries, among others; * Collaborate with the branch manager to schedule employee vacation plans; * Conduct monthly assessments to request replenishment of the branch cash fund for covering minor expenses; * Request service invoices, bills, utility accounts, and other service statements from suppliers at the beginning of each month, and ensure timely system entry on due dates for financial department follow-up; * Be accountable for the quality, reliability, and performance of resources, services, and information generated by tasks under your responsibility, maintaining confidentiality regarding Expresso Nepomuceno's business activities; * Stay updated on knowledge and technological advancements relevant to your field, aiming to propose and suggest continuous improvements in equipment and processes to maximize results; * Ensure proper care of company assets, requesting maintenance, repairs, or replacements whenever necessary; * Take responsibility for complying with Health, Safety, Environment, and Quality (HSEQ) requirements in daily activities and ensure excellent service to both internal and external customers; * Perform other related and inherent professional tasks as directed by the immediate supervisor. **Requirements and qualifications** * High school diploma; * Experience in the role; * Intermediate Office Suite skills; * File organization. **Additional information** * **Meal Allowance \-** Receive assistance to cover your daily meals with greater peace of mind and well\-being. * **Transportation Voucher \-** Move without worries—easily commute to work with our transportation voucher. * **Health Plan \-** Take care of your health and your family's with a comprehensive plan offering broad coverage at top hospitals and clinics. * **Dental Plan \-** Smile without worries!
