The Administrative Assistant will perform administrative and technical support activities, ensuring organization, control, and efficiency of departmental processes, providing service to the public, and contributing to information management.

The Administrative Assistant will be responsible for performing administrative and technical support activities, ensuring organization, control, and efficiency of departmental processes. They will serve internal and external public, ensuring proper registration, tracking, and routing of requests, as well as contributing to information management, report preparation, and decision-making support.
**The position primarily focuses on executing and qualifying administrative routines, ensuring compliance with workflows, deadlines, and institutional standards.**
**Responsibilities and Duties**
* Provide service to internal and external public, offering guidance and clarifications related to departmental activities;
* Perform screening, verification, and routing of requests, ensuring correct distribution and tracking of workflows;
* Schedule academic appointments in the Physical Spaces system;
* Record, organize, and maintain up-to-date area information and controls;
* Prepare monitoring reports and indicators, supporting analysis and decision-making;
* Support the Coordination team in organizing internal meetings and events;
* Monitor departmental processes and systems, proposing improvements and assisting users;
* Support administrative routines related to postings, including registration, control, and tracking of shipments.
**Requirements and Qualifications**
* Undergraduate degree in Administration and/or related fields, currently in progress or completed;
* Proficiency in Microsoft Office (Word, Excel, PowerPoint);
* Knowledge of Power BI is considered a plus.
**Additional Information** **Working Hours:** Monday to Friday, from 7:30 AM to 5:00 PM | On-site
