




We are looking for an **Administrative Coordinator** to lead and optimize the essential back-office functions critical to our business: **Documentation, Billing, and Financial Control**. This professional will be responsible for ensuring legal compliance, accuracy of financial information, and efficiency of workflows. The Administrative Coordinator will hold the following strategic and tactical responsibilities: * **Financial Management and Billing:** * Supervise and ensure the correct execution of Accounts Payable, Accounts Receivable, and Cash Flow routines. * Manage the entire billing cycle (issuance, correction, and filing of Invoices, freight bills, etc.), ensuring compliance with tax obligations and timeliness. * Monitor and analyze financial indicators (KPIs), such as Break-Even Point, Contribution Margin, and Delinquency Rate. * Develop and control the budget (Budget), reporting variances to senior management. * **Documentation Management and Compliance:** * Develop and implement document and contract management policies. * Ensure organization, archiving, and traceability of all company legal and operational documentation. * Ensure all administrative and billing processes comply with current legislation. * **Leadership and Process Optimization:** * Lead the administrative team, fostering professional development and a high-performance environment. * Continuously map, review, and optimize departmental processes to reduce errors and increase productivity (using methodologies such as PDCA and Lean Office). * Manage relationships with external accounting firms and other administrative service providers. Requirements: * **Education:** Bachelor’s degree completed in Administration, Accounting, Economics, or related fields. * **Coordination Experience:** Proven experience in managerial or coordination roles within administrative, financial, or billing teams. * **In-depth Knowledge:** Solid expertise in billing routines, invoice legislation, cash flow management, and budgetary control. * **Technology:** Advanced proficiency in **Excel** (modeling, dashboards) and extensive experience with **ERP** systems. * **Leadership:** Demonstrated ability to lead, motivate, and develop people.
