Description: Mandatory Requirements: * Bachelor's degree in International Trade, Administration, Logistics, Port Management or related fields * Proven experience of at least 2 years with maritime documentation and maritime agency / operations * Advanced or proficient English * Proficiency in Microsoft Office Suite * Must reside near Santarém Your responsibilities will include: * Calculate and send proforma invoices to clients by assessing and calculating port costs according to the type of cargo, vessel, and operation to be performed at the port, considering each client’s rates and agreements. If necessary, consult the commercial team to assist in pricing the agency fee and other charges; * Notify the vessel to the Port Authority and/or Port Terminal by submitting an official standard form to formalize the vessel's arrival at the port. In some locations, this procedure is performed via a specific website/system; * Inform the ship's Master about local procedures adopted by the port/terminal by sending an e-mail to the vessel listing all port restrictions and providing guidance on procedures adopted by the Terminal, Agency, and Authorities (pre-arrival documents, forms...); * Schedule the vessel's berth plan with involved agents, Port Authority, Terminals/Port Operators, Importers/Exporters/Traders, Pilots, Tugboats, and coordinate execution by sending notifications to the terminal, pilots, and tugboats regarding the vessel’s berth plan with the ETA provided by the Master; * Release the vessel with the Authorities by mediating communication between the vessel, Terminal, and Authorities, submitting required documents for vessel release as quickly as possible, avoiding delays and issues; * Keep clients and stakeholders updated on the vessel's expected movements, progress, issues, and productivity during the port call; * Represent and defend the client's operational interests when necessary, always aiming for efficiency and cost-effectiveness during the port call. Monitor operations and communicate with involved parties to safeguard the client's interests and minimize the risk of unnecessary additional costs; * Address the vessel’s and crew’s operational needs (medical, dental, supplies, etc.) and act as intermediary in communications with parties involved during the port call, fulfilling requests made during the vessel’s stay and informing relevant stakeholders; * Hire service providers upon request from the shipowner/Master or client; * Prepare proforma invoices according to client agreements; * Update and prepare the daily line-up. Gather necessary local information to prepare and transmit the line-up with all required data within the deadline set by headquarters according to your location; * Monitor port movements/line-up, keep management/commercial team informed about new cargo and/or clients at the port, track vessel schedules and cargo in the port’s line-up, and participate in planning meetings with the Port Authority and Port Operators. 2510220202531823472
