The role involves close collaboration with the Agreement Manager and other departments involved in agreement implementation, contributing to smooth operational execution and strengthening the organization’s local presence. **MAIN DUTIES AND RESPONSIBILITIES:** Participate in discussions regarding administrative and operational strategies with the Agreement Manager, aiming to ensure management decisions comply with rules agreed upon with funders; Support liaison and exchange with funders within the scope of assigned responsibilities, and facilitate dialogue between the branch office and the national headquarters, as well as among stakeholders/funders involved in the projects; Monitor and ensure adherence to the organization’s administrative management procedures (HR, Accounting, Finance, Financial Reporting, and Procurement), as well as those stipulated by funders; Support agreement management based on the agreement presented by the funder, providing progress data to the Agreement Manager whenever necessary; Monitor procurement processes, service provision, and recurring payments, as well as estimate future expenditures and remittance needs; Support and monitor the HR department in disseminating and guiding staff on the organization’s Ethics and Conduct policies; Jointly with the Agreement Manager, contribute to drafting administrative and financial project documents for approval by the National Board; Support project coordinators in preparing periodic management reports, focusing on measuring results against indicators agreed upon with the funder; Attend periodic meetings with the Agreement Manager to update and monitor operational and strategic needs; Maintain regular contact with the Agreement Manager and data focal points for collection and updating of information destined for reports; Under the supervision of the Agreement Manager, share data collection requirements based on the agreement established with the funder; Participate in budget monitoring and propose replanning in coordination with the Agreement Manager; Monitor and support financial reporting oversight, verifying compliance with funder requirements; Prepare documents for financial verification and project audit; Collaborate to ensure the quality of external audits and financial verifications of projects, in partnership with funders; Support the organization of missions from the national headquarters whenever necessary, particularly regarding preparation of financial reports and review of financial statements; Participate, when requested, in meetings with funders on management strategies and aspects, jointly with the Agreement Manager; Monitor correct completion of mission forms and documents, ensuring records required for financial reporting are maintained; Support periodic project management reporting; Support preparation of expense reports for monthly expenditure reporting to the funder; Prepare the managerial code report required for payroll payments; Support HR in monitoring staff promotions and position changes; Perform other related duties assigned by the Agreement Manager and General Manager as required.
