Event Analyst - Logistics

Job Summary: Professionals responsible for all event logistics and organization, from venue and supplier booking and contracting to quality control and financial management, ensuring execution as planned. Proactivity, sense of urgency, and responsibility. * Book restaurants, venues, and meeting rooms for events, verifying all required items such as infrastructure, accessibility, payment methods, and other operational requirements; * Serve as the direct point of contact for delivery and alignment with third parties at in-person events, ensuring execution as planned; * Contract event decoration, including lighting, flowers, cubes, and other scenic materials; * Purchase event giveaways; * Monitor deliveries and deadlines according to the schedule established by the Customer Success team; Execute direct mail campaigns; * Update the cost spreadsheet; * Organize and centralize invoices into a unified folder; * Maintain the supplier database up to date; * Provide quotations for event items upon request; * Manage and organize physical inventory; * Negotiate timelines, pricing, and payment terms with suppliers; * Submit payment requests to the finance team, ensuring proper approval flow and timely payments per agreed deadlines; * Manage supplier contracts and agreements; * Conduct comparative budget analysis, preferably with a minimum of three quotations when applicable; * Be responsible for quality control of procured items, materials, and services, ensuring adherence to the defined standard for each project. Requirements: * Experience in event logistics; * Commercial negotiation skills; * Completed or ongoing undergraduate degree in Marketing, Communications, or related fields. * Ability to manage multiple tasks simultaneously; * High level of organization; * Sense of urgency and responsibility; * Proactivity.
