




Job Summary: Support and perform daily activities related to document handling, processing, preparation, and organization, including technical archiving and electronic document management. Providing user support and clarifying questions regarding documents. Description: Support and perform daily activities related to document handling, processing, preparation, and organization. Main Responsibilities: * Perform technical archiving activities; * Process and organize documentation in physical and electronic media; * Prepare documentation for off-site storage; * Manage document loans and returns, searches, access control, loans, returns, registration, pre-allocation, and prepare control spreadsheets; * Structure the technical archive; * Organize documentation on shelves, sliding units, or cabinets, adhering to the organizational criteria adopted by the Unit; * Organize physical documents for off-site storage and/or transfer to other units, as required, following corporate rules and standards; * Package documents and folders into boxes for off-site storage and/or transfer to other units, following corporate rules and standards; * Populate the Document Storage and Retrieval System (SGAI) or any other off-site storage system currently in use by the client; * Arrange for the dispatch of sealed and labeled boxes to off-site storage via collection requests and/or inter-unit transfers; * Digitize documents resulting from service deliveries, searches, and provision of documents; * Digitize documents upon ad-hoc requests; * Plot documents according to the structure provided by the client; * Provide user support, clarifying questions regarding document issuance and the use of client procedures and regulations; * Manage internal coding for document issuance; \* Clarify questions regarding the use of GED/EDMS tools deployed in \*Project Implementations, business areas, and other departments; * Conduct document searches and provide documents; * Ensure that the reference collection remains up-to-date; * Verify received documentation; * Register documentation (create records, perform check-out/check-in of new documents and reservations); * Digitize documents using Optical Character Recognition (OCR) technology when they are part of specific processing and organization projects; * Compile technical documents into data books using bookmarks and OCR to enable rapid information retrieval from compiled data books; * Verify electronic and paper documents within electronic document management systems for subsequent inclusion, if necessary; * Compare digital and physical copies of data books issued by contracted companies against content sections defined in contractual annexes and technical specifications. Minimum Experience: * Technical Archiving and Document Management activities. Minimum Knowledge: * Proficiency in Microsoft Office suite applications: Word, Excel, and PowerPoint; * Proficiency in Adobe Systems Acrobat Pro software; * Knowledge of Electronic Document Management (GED); * Technical archives and archiving techniques.
