




Job Summary: The Administrative Assistant will be responsible for executing accounts payable activities, invoicing tax documents, and supporting internal and external audits. Key Highlights: 1. ADMINISTRATIVE ASSISTANT | COFCO INTL Responsible for executing accounts payable activities, including monitoring receipt of invoices via email and scheduling expense payments according to daily, biweekly, and monthly due dates as requested by departments, while complying with internal procedures and established deadlines. KEY RESPONSIBILITIES Ensure creation of service tickets via the TopDesk portal for accounting of all invoices, bills, receipts, and bank slips sent via email. Documents must be accounted for within their respective accounting period, and payment scheduling must occur prior to maturity, ensuring no document is settled late. Contribute to the accounting close process by identifying unaccounted fiscal documents requiring accrual per accounting principles. Fiscal documents must be organized with appropriate supporting documentation (BM, signed contract, or supplier email containing calculation memo and amount), with values meeting requirements stipulated by external auditors. Perform protest and negative listing control, monitor related incidents, support internal resolution efforts, and contribute to resolving outstanding matters with suppliers and competent authorities. Monitor pending invoice accounting entries via the GRC system, ensuring follow-up with responsible departments until full resolution of outstanding items. Analyze ZCOP purchase requests, validating account codes, cost centers, and compliance with internal guidelines prior to processing, thereby contributing to accurate expense classification. Communicate scheduled payment dates back to suppliers, ensuring clarity of information, adherence to agreed timelines, and alignment with the accounts payable workflow. Support the collection of fiscal documents required for internal and external audit activities, maintaining all statements, reports, and associated histories up-to-date, and providing requested information during audits to supply necessary evidence enabling auditors to analyze and issue technical opinions on reported results. Support issuance of return invoices for purchased goods and leased equipment, ensuring such invoices are signed by counterparties and archived on the network for proper presentation during audits.
