The Technical Specification Administrative Assistant is responsible for ensuring the accuracy and standardization of technical information for all factory products.
This professional operates at the interface between development (design and pattern making) and production, ensuring that material, process, and specification data are correctly recorded in the system and properly documented for execution on the factory floor.
**Requirements and Qualifications**
* Academic Background:
* Completed high school and higher education.
* Technical course in administrative, production, or related fields is desirable.
* Experience: Prior experience in administrative routines, preferably in industrial settings (textile, footwear, or leather industries). Technical Skills:
* Proficiency in Microsoft Office Suite and Excel (spreadsheets and controls).
* Basic knowledge or experience with enterprise systems. Internal Stakeholders (Primary Internal Customers):
* Product Development Department (Design and Pattern Making);
* Production Planning and Control (PCP) and Production Department (Cutting, Preparation, and Assembly);
* Purchasing and Warehouse Department;
* Quality Department.
* Performance Indicators (KPIs): Registration Accuracy: Percentage of technical specifications issued without typing or coding errors (ideal target: 100%). Average Registration Time:
* Time elapsed between prototype approval receipt and technical specification release for production. Zero Non-Conformities: Number of production complaints due to missing or incorrect information in the technical specification
Main Responsibilities and Duties
1\. Registration and Maintenance: Register new items (raw materials, components, leathers, hardware, trimmings) in company systems, assigning standardized codes and descriptions.
2\. Development and Management of Technical Specifications.
3\- Ensure the technical specification accurately reflects the product to be manufactured, including sewing, finishing, and assembly details. 3\. Revision Control: Manage changes (revisions) to existing technical specifications, ensuring production always uses the most up-to-date version of the document.
4\- Archive outdated versions for traceability and audit purposes.
5\. Operational Support and Communication: Issue and distribute technical specifications to cutting, preparation, and assembly departments upon release of Production Orders (POs).
6\- Provide prompt support to the production team to resolve specific questions regarding specifications contained in the technical specifications.
7\. Filing and Organization: Maintain both physical and digital departmental archives organized and easily accessible, ensuring the security of confidential product and process information.
