




### **JOB DESCRIPTION** Provide administrative support to the events team, ensuring the organization and smooth execution of all project stages. Attention to detail, proactivity, and teamwork skills are essential to ensure stakeholder satisfaction and event success. **Main responsibilities:** **Pre-event support:** Assist in participant and staff registration. Monitor rules and deadlines specified in each event's Exhibitor Manual. Ensure timely completion of required forms. **Supplier coordination:** Research suppliers, request quotes, arrange documentation for service contracts such as venue rental, catering, audiovisual equipment, and cleaning services. **Financial tasks:** Process supplier payments and record expenses in simple reports. **Documentation and reporting:** Organize and maintain physical and digital files including contracts, budgets, guest lists, and support materials. **Communication and customer service:** Serve as the main point of contact for suppliers and participants, responding to e\-mails, phone calls, and addressing inquiries. **Event organization and logistics support:** Identify and dispatch event items such as banners, brochures, product displays for booths, lectures, and workshops. Prepare and send promotional gifts either to the sales team or directly to clients. ### **JOB REQUIREMENTS** **Education:** Currently pursuing a Bachelor’s degree in Administration, Events, or Hospitality. **Prerequisites:** Attention to detail, proactivity, and ability to work in a team. Proficiency in Microsoft Office Suite, especially Excel for spreadsheets and reports. Strong verbal and written communication skills. **Preferred qualifications:** Previous experience in administrative routines and/or event organization is an advantage. Preferably at least one year completed in a higher education program. **Work schedule:** On-site from Monday to Friday, with remote work on Wednesdays.
