Sending an email to the vessel listing all port restrictions and providing guidance on procedures adopted by the Terminal, Agency, and Authorities (e.g., pre-arrival documents, forms, etc.). 4. Scheduling the vessel’s berthing with involved agents, the Port Authority, Terminals/Port Operators, Importers/Exporters/Traders, Pilots, and Tugboat operators; coordinating execution thereof. This includes sending notifications to the terminal, pilotage service, and tugboat operators regarding the vessel’s berthing schedule, using the ETA provided by the Master. For certain terminals, this information is submitted via an internal system. After confirmation of the berthing schedule, the port agent must verify with the terminal regarding vessel berthing/unberthing/operation status. Providing estimated berthing/unberthing times to inform all involved parties. Communication with authorities is conducted via the “Paperless Port” (PSP) system, except for the Federal Revenue Service, for which a berthing schedule must always be opened in the Mercantile System. 5. Facilitating vessel clearance with authorities by mediating communication between the vessel, terminal, and authorities, and submitting required documentation as promptly as possible to avoid delays and disruptions. In most ports, clearance is processed via the Paperless Port (PSP) system. 6. Keeping clients and stakeholders updated on vessel movement forecasts, operational progress, issues encountered, and productivity during berthing. Providing daily updates indicating expected arrival, berthing, and departure times. Upon vessel berthing, monitoring operations and issuing a daily notice at least three times per day, detailing productivity achieved, remaining work volume, any operational stoppages, weather forecasts, and any other relevant information. 7. Representing and safeguarding client interests operationally whenever necessary, always prioritizing speed and cost-efficiency of the berthing process. This includes monitoring operations and maintaining contact with all involved parties to ensure client interests are protected and to minimize unnecessary additional costs during berthing. 8. Addressing the vessel’s and its Master’s operational needs (e.g., medical/dental services, provisioning, etc.), and facilitating communication among all parties involved in the berthing process. Responding to requests raised during the vessel’s berthing and informing relevant stakeholders. 9. Contracting service providers upon request from the shipowner/Master or client. According to demand, the port agent must liaise with local suppliers to ensure requested services are delivered. It is essential to contract only those suppliers qualified by WSAM. 10. Keeping the immediate supervisor and cost center informed of expenses incurred during berthing. Ensuring relevant departments are notified of any extra expenses arising during berthing so appropriate actions can be taken, and verifying whether advance payment is required to cover such costs. 11. Preparing proforma invoices per client agreement (applicable to some branches). Calculating port charges and checking whether the client has any existing agreement in the WSIAM system; if not, requesting pricing from the commercial department and sending the proforma invoice together with the Port Handbook (listing port restrictions), immediately upon receipt of the PDA request or appointment notification. 12. Updating and preparing the daily lineup (applicable to some branches). Gathering necessary local information to prepare and transmit the lineup containing all required data, within deadlines set by headquarters according to location. 13. Monitoring port movements/lineup and keeping the supervisor/commercial team informed about new cargo movements and/or new clients at the port.
