Contribution to the efficiency and standardization of operational routines. **Description:** ---------------- The Administrative Analyst I will work in a generalist capacity, providing operational support for facilities, procurement, logistics, and partnership routines, ensuring organization, process control, and deadline compliance. Reporting directly to leadership, the role supports the execution of administrative tasks, supplier relationship management, and monitoring of contracts, business travel, events, and services—contributing to operational efficiency and routine standardization within the department. Responsibilities: * Execute general administrative routines for the department, organizing and maintaining physical and digital files, contracts, documents, and operational records; * Complete, update, and maintain spreadsheets, simple reports, and administrative records related to facilities, procurement, logistics, and partnerships; * Receive, register, and track procurement requests, supporting quotation processes with approved suppliers and assisting in purchase order issuance and follow-up; * Update supplier registrations, material, consumables, and equipment inventories under the department’s responsibility; * Support receipt, verification, and validation of materials, services, and deliveries together with requesting departments; * Support monitoring of third-party service contracts, including cleaning, maintenance, cafeteria, reception, security, and other operational services; * Assist in controlling preventive and corrective infrastructure maintenance, supporting the organization of physical spaces, meeting rooms, storage areas, and common areas; * Maintain basic inventory control of assets, equipment, and consumables, ensuring resource organization and availability; * Support logistical coordination for corporate travel and internal or external events, including quotations, reservations, supplier management, consumables tracking, and administrative recordkeeping; * Assist in organizing pre- and post-event documentation, as well as expense reporting processes; * Support operational relationships with suppliers, partners, and sponsors, per leadership guidance; * Respond to internal requests via official channels, providing support to departments and advising on workflows, deadlines, and procedures; * Utilize corporate systems, internal platforms, and management tools for recording, tracking, and controlling departmental tasks; * Adhere to defined administrative workflows, ensuring compliance, organization, and operational efficiency. Preferred Qualifications: * Prior experience with suppliers, contracts, or third-party services; * Experience supporting corporate events or travel logistics; * Basic knowledge of ticketing systems, procurement systems, or contract management systems; * Familiarity with dynamic corporate environments or tech companies. **Requirements:** ----------------- * Currently pursuing a bachelor’s degree in Administration, Logistics, Public Management, or related fields; * Intermediate proficiency in Microsoft Office Suite and Google Workspace; * Prior experience in administrative routines, procurement, facilities, or logistics is desirable.
