Job Summary: Responsible for managing, supporting, and executing activities within the Technical Archive Unit or Document Management Unit, with emphasis on coordination, planning, and quality control. Main Responsibilities: * Provide advisory services, monitoring, and presentation of statistical data regarding the progress of project document issuance; * Coordinate internal activities of the Technical Archive Unit or Document Management Unit; * Plan and monitor activities and requests received from the client; * Present statistical data on processed volume, service delivery, and other related processes and deliverables; * Identify and map document workflows, including origins and destinations, in collaboration with field inspectors and project coordinators; * Plan and implement the document management schedule according to the documentation plan and the quantity of documents to be provided by the client; * Plan and implement quality control of received documentation, in compliance with the client's quality guidelines and plans; * Analyze documents for formatting and coding, verifying the quality of documents issued for the project; * Create, review, and supplement the Project Implementation or Business Area Technical Documentation Unit’s Document Management Plan; * Participate in contract kickoff meetings with the engineering designer – Kick-off Meeting (KOM) for the Project; * Respond to managerial requests for information regarding project documentation; * Deliver presentations containing statistical data and information on the progress of technical document issuance activities for the project; * Develop procedures to guide the Contractor; * Guide Contractors to meet client requirements; * Understand and apply, in practice, the processes covered under technical and administrative documentation services, observing contractual clauses; * Participate in meetings with the contracted engineering designer and the client; * Prepare a monthly report detailing completed activities; for legacy documentation projects, include progress and milestones; * Organize physical archives across various client units; * Guide Contractors to meet client requirements; * Understand and apply, in practice, the processes covered under technical and administrative documentation services, observing contractual clauses; * Generate reports on documents registered in the Electronic Document Management System (EDMS), where the team is assigned, for client management monitoring; * Generate reports tracking document comment workflows for client management review; * Participate in meetings with the contracted engineering designer and the client; * Conduct documentary diagnostics and present proposals for archive organization; * Organize documentation electronically, establishing taxonomy for files in the storage location specified by the client, in accordance with the client’s corporate rules and standards; * Manage and archive meeting minutes, letters, and e-mails exchanged with Contractors, ensuring control over numbering, issuance/receipt, and filing. Requirements: Minimum Education: * Bachelor’s degree in Library Science or Archival Science. Minimum Experience: * Minimum of 6 years’ experience in engineering documentation management and/or document management projects. Minimum Knowledge: * Proficiency in the full Microsoft Office software suite; * Proficiency in Adobe Systems’ Acrobat Pro software; * Knowledge of Electronic Document Management Systems (EDMS); * Experience in Engineering Technical Documentation; * Familiarity with ABNT NBR ISO 30.300 standard; * Familiarity with ABNT NBR ISO 30.301 standard; * Familiarity with ABNT NBR ISO 30.302 standard; * Familiarity with ISO 15.489-1 standard; * Knowledge of document organization and management techniques; * Knowledge of project management techniques; * Knowledge of presentation techniques.
