About the Role
A food service company operating multiple units with an expansion plan is seeking an Administration intern to support the Maintenance team in administrative routines, document organization, and procurement processes. This position offers practical experience in operations management within a multi-unit company, including direct interaction with suppliers, corporate systems, and performance indicators.
Main Responsibilities
* Organize and maintain the Maintenance team’s schedule (technical visits, service orders, preventive and corrective maintenance timelines).
* Manage area documentation: contracts with service providers, technical reports, inspection reports, warranties, and equipment manuals.
* Enter invoices, fiscal notes, and expenses into internal systems, ensuring verification of amounts, dates, and cost centers.
* Conduct price quotations with suppliers (minimum of 3 proposals), prepare comparative analysis charts, and submit them for management approval.
* Monitor maintenance request statuses across units, record deadlines, and follow up with technicians and suppliers for timely responses.
* Support team routines by preparing reports, tracking spreadsheets, and meeting minutes.
* Assist in inventory control of maintenance materials and parts (receipts, issues, and periodic inventories).
* Provide ad-hoc administrative support to senior management and related departments.
Requirements
* Currently enrolled in Administration, Business Management, Accounting, Engineering, or related fields, from the 2nd semester onward.
* Availability for 6 hours per day (30 hours per week), Monday through Friday.
* Intermediate Office suite proficiency (especially Excel: basic formulas, filters, conditional formatting).
* Strong written and verbal communication skills.
* Organizational skills, attention to detail, and proactivity.
* Ability to manage multiple concurrent tasks and meet deadlines.
Preferred Qualifications (non-eliminatory)
* Prior experience entering fiscal notes or accounts payable routines.
* Familiarity with task management tools (e.g., ClickUp).
* Previous experience in foodservice, retail, or facilities management.
* Basic knowledge of building, electrical, or refrigeration maintenance.
