The Construction Administrative Assistant is responsible for providing administrative support to construction site activities, ensuring document control and organization, assistance with personnel, materials, and services routines, contributing to operational efficiency and adherence to established deadlines. * Perform administrative tasks on site, supporting the technical and operational team; * Prepare reports, spreadsheets, performance indicators, and management presentations; * Control and archive documents such as contracts, invoices, progress measurements, drawings, and technical reports; * Maintain up-to-date documentation for employees and third parties (e.g., medical examinations, ASOs, training certificates); * Monitor attendance records, overtime hours, absences, and employee leave periods on site; * Support hiring, termination, and payroll closing processes; * Request materials, services, and equipment per instructions from the technical team; * Track deliveries and manage inventory of supplies, tools, and equipment on site; * Record incoming and outgoing materials, tools, and equipment at the construction site; * Attend to suppliers, service providers, and construction site personnel; * Maintain efficient communication with internal company departments (engineering, HR, finance, etc.); * Organize physical and digital files and schedule meetings as required by the project; * Contribute to maintaining organization at the construction site and administrative office; * Participate in meetings and training sessions, contributing ideas for process improvement; * Perform other related tasks as required and directed by leadership.
