**Responsibilities and Duties**

* Collaborate with the Site Manager to develop the **budget and control the forecast**;
* Enter and monitor invoices in the system according to headquarters' procedures, ensuring they are scheduled and approved by the Site Manager, and submit all documentation to headquarters;
* Control sporadic expenses ("petty cash") in cases requiring emergency purchases for operations where payment must be made in cash;
* Research rates and arrange flights, accommodations, and car rentals for employees by contacting the contracted service provider;
* Procure office supplies, operation labels, uniforms, freight services, and other items, supporting quotation processes to ensure continuity of activities;
* Generate unit expense reports in the designated system and finalize monthly expense reporting to the Site Manager;
* Archive all unit-related documentation and contracts to facilitate and expedite retrieval;
* Manage and conduct inventory of warehouse materials and supplies to ensure stock accuracy, and issue reports to the procurement department and unit management;
* Monitor mailbags (receipt/distribution) and distribute them accordingly. • Collaborate with the Site Manager to develop the budget and control the forecast;
* Support the Site Manager in preparing presentations and projects;
* Collect data to compile the service billing mirror, gather internal approvals, send to the client, and ensure invoice issuance;
* Archive documents. Respond to audits as required, in accordance with certifications established for the unit;
* Organize the workplace in compliance with Good Quality Practices and 5S principles;
* Act in accordance with the defined Policy, objectives, goals, and other requirements of the Integrated Management System (IMS);
* Perform tasks in compliance with operational procedures and controls;
* Report IMS non-conformities and understand the implications of non-compliance with its requirements;
* Identify significant environmental aspects and impacts, as well as unacceptable hazards and risks within your area;
* Be aware of incidents and their investigations, and know your right to refuse work if the activity poses an imminent danger.
Minimum Education: Bachelor's Degree
