Focus on efficiency and compliance **Job Description:** We are looking for an Administrative / Facilities Assistant to support the company’s administrative and operational activities, working collaboratively with various internal departments and suppliers. The professional will be responsible for procurement routines, corporate travel coordination, supply control, telecommunications management, fixed asset inventory, and general administrative support—ensuring process efficiency and compliance with internal policies. ✈️ Corporate Travel Administration Conduct quotations, reservations, and purchases of air tickets and accommodations for employees from headquarters and subsidiaries; Review travel expense reports from all company units. ? Procurement and Supplies **Conduct quotations and purchases of various materials, including:** IT supplies Facility maintenance materials Hygiene and cleaning products Office supplies Manage distribution, restocking, and inventory of office supplies. ? Telecommunications Management Monitor monthly telecommunications service invoices; Extract invoices from operators’ portals; Initiate and track billing disputes with operators; Monitor invoice payments via control spreadsheets. ? Fixed Asset Inventory Participate in managerial inventory assessments; Update and maintain fixed asset inventories for headquarters and specific units. ? General Administrative Support Prepare, verify, adjust, and collect signatures on purchase orders and price quotations from headquarters and subsidiaries; Track fiscal entries related to purchase orders; Support payment scheduling in coordination with the finance department. ? Facility Maintenance Support (Secondary Responsibilities) **Monitor minor facility maintenance tasks, such as:** Light bulb replacement Faucet replacement Relocation of desks and chairs **Requirements:** Requirements Currently enrolled in or graduated from a Bachelor’s degree program in Business Administration, Business Management, or related fields; Previous experience in administrative routines; Proficiency in Microsoft Office (especially Excel); Organizational skills, proactivity, and strong communication abilities. Preferred Qualifications Experience in facilities management, procurement, or telecommunications; Experience managing fixed asset inventory; Experience with ERP or administrative systems.
