Job Summary: Provide administrative support to the Maintenance department by managing orders, materials, costs, services, and fiscal processes to ensure supply continuity and regulatory compliance. Opportunity in industrial administrative support. **What will be your responsibilities?** **Order, Materials, and Services Management** * Monitor replenishment order deadlines, as well as delivery timelines for procured materials and services. * Maintain an updated list of open orders, proactively contacting and following up with suppliers in cases of delay to meet maintenance needs. * Place purchase orders for items directly acquired by the maintenance department, in accordance with internal procedures. **Input and Inventory Management** * Manage inputs—including periodic inventories—for maintenance and utilities departments. * Verify received materials by cross-checking invoices against purchase orders and existing inventory, confirming quantities, compliance, and potential rejections. * Ensure proper storage, organization, hygiene, and cleanliness of stored materials. **Fiscal Routines and Invoices** * Receive, verify, and process invoices related to parts and services delivered for maintenance. * Execute internal procedures for issuing outgoing invoices upon material returns, and receive and process return invoices. * Record invoice numbers in spreadsheets and/or systems to ensure accurate cost tracking and monitoring. **Suppliers and Procurement** * Negotiate with suppliers and third parties to obtain quotations, aligned with maintenance requirements. * Register suppliers strictly adhering to the company’s internal procedures. * Send equipment (e.g., motors) to suppliers, receive quotations, generate Purchase Requests (P.R.), and monitor the process until completion. **Indicators and Controls** * Maintain and update maintenance service cost indicators. * Support budgetary control, ensuring visibility and accuracy of cost-related information. **Compliance, Safety, and Good Manufacturing Practices (GMP)** * Strictly follow Standard Operating Procedures (SOPs). * Comply with occupational safety regulations. * Operate in accordance with the Good Manufacturing Practices (GMP) manual. **What are we looking for?** * Required: Completed High School Education * Preferred: + Completed or ongoing undergraduate degree in Administration, Accounting Sciences, Engineering, or related fields. + Technical training in Electrotechnology, Electronics, Mechatronics, or Technology in Maintenance / Industrial Automation. * Prior experience in industrial administrative routines, preferably within maintenance departments. * Proven experience in fiscal routines, including invoice verification, issuance, and taxation. Advanced computer skills (spreadsheets, control and management systems). * **What would be considered a plus?** * Logistics for order processing and material storage. * Familiarity with Computerized Maintenance Management Systems (CMMS).
