




Job Summary: The Facilities Coordinator is responsible for the strategic and operational management of facilities, ensuring effective infrastructure, maintenance, security, and well-being services, while managing teams and budgets. Ensuring proper and safe operation of facilities The Facilities Coordinator is responsible for the strategic and operational management of the company's facilities, ensuring that all infrastructure, maintenance, security, and employee well-being services are delivered effectively and efficiently. Coordinates maintenance teams, general services teams, and third-party contractors, and manages budgets, contracts, and continuous improvement projects, guaranteeing proper and safe facility operations. **Key Responsibilities:** * Oversee administrative and operational management of commercial condominiums, supporting activities related to building maintenance, administrative support, reception, security, property security, cleaning, landscaping, etc.; * Manage the building management contract, mediating negotiations for adjustments and reductions, and monitoring execution of contracted services; * Monitor building operations and condominium needs, addressing issues immediately; * Conduct building inspections, identifying conservation issues and proposing cost-effective solutions; * Manage third-party service procurement, including quotations and budgeting, participating in negotiations, drafting contracts, and preparing other required documents; * Perform preliminary review of service provider contract drafts and construction contracts; * Supervise service provision contracts, monitoring execution, delivery timelines, and service quality, approving invoice and fiscal note payments; * Perform administrative tasks; * Support preparation of the condominium budget, considering needs and priorities; * Evaluate supplier performance based on quality criteria; * Assist in preparing operational management reports, documenting all activities performed at the property; * Analyze accounting trial balances, verifying reported values to identify and correct inconsistencies; * Collaborate with administrative staff on waste disposal processes, verifying compliance with legal requirements; * Plan and monitor the performance and evolution of building management through KPIs, and prepare monthly performance closing reports; * Review construction projects to verify compliance with building regulations; specify and prepare materials for quotation of small- and medium-scale construction works, and monitor execution to ensure compliance with contractual specifications and timelines; * Supervise and develop other activities inherent to this role. * **Requirements:** * Bachelor's degree in Mechanical Engineering * Solid experience in facilities management, building maintenance, and general services, preferably in mid- to large-sized companies.
