**Job Description:**

Manage the Director of Infrastructure’s schedule by organizing meetings, technical visits, and internal/external appointments with advance notice and precision; monitor delegated requests to ensure timely follow-up and keep senior management updated on critical matters; request and consolidate information regarding ongoing construction projects, maintenance activities, and infrastructure-related initiatives from respective responsible parties, structuring reports for analysis; support the development of timelines, action plans, and performance indicators for the infrastructure department; create and maintain up-to-date administrative support controls (e.g., costs, budgets, project statuses), assuming responsibility for spreadsheets and internal systems; manage logistics for the directorate’s technical travel—including flight reservations, accommodation arrangements, and itinerary planning; request support from departments such as HR, Legal, Procurement, and Finance, aligned with the directorate’s needs; handle strategic and sensitive documents with strict confidentiality; propose improvements to administrative processes within the directorate, contributing practical ideas and solutions to enhance efficiency; facilitate communication among coordinators, supervisors, and senior management to ensure smooth and clear information flow; organize physical and digital files related to construction projects, contracts, suppliers, and strategic reports; update infrastructure management systems (e.g., Asana) with current records; generate status and performance reports using BI tools, Excel, or other relevant software as required by leadership; manage and oversee lease, loan, rental, and service provider contracts—including deadline reviews, financial system entries (Mega), due dates, and renewals; monitor supplier-delivered services and deliverables to ensure adherence to deadlines and quality standards;
