Job Summary: The professional will perform varied administrative and supportive tasks, including organizing information, attending to patients, and providing support across different hospital departments. Managing medical records and documentation, ensuring organization and integrity Perform administrative activities related to organizing and controlling information, including data collection and consolidation, spreadsheet preparation, document and file controls to support departmental decision-making. Schedule medical consultations and exams, guide patients, verify validity and arrange renewals of procedures, and request procedure authorizations from health insurance providers; be responsible for the custody, archiving, and release of medical records and exam reports, and sort medical records according to appointment schedules. Record social and supportive information for oncology patients; keep the RHC database updated; register patients and generate medical records at the start of treatment, ensuring complete submission of required documents. **Schedule:** Monday to Thursday, 9:00 AM to 7:00 PM; Friday, 10:00 AM to 7:00 PM. **Salary:** R$ 2.076,23 **Benefits:** * Transportation allowance; * Meal voucher or food allowance; * Medical assistance (UNIMED); * Dental assistance (METLIFE); * Educational assistance (undergraduate and postgraduate); * Daycare allowance (childcare assistance) of R$ 200.00 (per child) for mothers with children meeting eligibility criteria and aged up to 4 years (limited to 3 children); * Quality-of-life program; * Funeral plan; * Partnerships with restaurants, Pacheco, psychologists, pharmacies, and workshops; * Christmas gift card. **Responsibilities and Duties** **During Hospital Admission** * Register and monitor management events (admissions, discharges, transfers, and daily census); * Track and manage surgery and exam requests and pending items; * Identify patients, verify bed availability, and record relevant information; * Check, organize, and forward post-discharge medical records to billing; * Verify exam results and organize documents in designated slots; * Forward and track exam requests requiring special authorization (Auditing and Technical Directorate); * Prepare documents, reports, and spreadsheets as requested by leadership; * Organize, control, and ensure the integrity of departmental documentation; * Answer telephone calls, record messages and information, and relay them appropriately; * Support communication and integration between internal and external departments; * Manage inventory of supplies (labels, printed materials, office supplies, cleaning materials, PPEs, and linens); * Request supply replenishment as needed and authorized; * Maintain organization of nursing stations and administrative areas; * Record supply movements in both computerized and paper-based systems; * Transport administrative materials from the management unit, per established norms and procedures; * Perform other related duties as directed by the immediate supervisor. **At Reception** * Distribute service tickets based on patient arrival order; * Direct patients according to their purpose of visit: consultation, emergency care, or medication pickup; * Authorize procedures to be performed; * Notify Billing of APAC expiration; * Schedule medical consultations based on calendar availability; * Collect signatures and documents to be attached to treatment attendance records; * Ensure smooth progression of medical consultations. **At the Archives** * Archive and store medical records and diagnostic exam reports; * Sort medical records according to scheduled consultations and multidisciplinary team care; * Safeguard the integrity of medical records; * Keep the medical record transfer log updated; * Ensure timely return of medical records to the department; * At RHC – Maintain the RHC database updated; * Extract requested data from medical records as specified in electronic forms; * Enter requested information into electronic medical records. **At Billing** * Perform initial patient registration at the institution; * Request necessary documents for patient enrollment in outpatient services; * Generate the patient’s medical record number; * Schedule consultations according to APAC authorization; * Perform other related tasks of equivalent difficulty upon request from the immediate supervisor. **Requirements and Qualifications** Completed high school education; We are Santa Casa BH and we work for a cause: delivering top-tier healthcare to everyone.
