**DESCRIPTION:**
The Administrative Assistant supports management and is responsible for ensuring operational efficiency and achievement of established goals, contributing to the smooth functioning of units.
**Role: Working hours:** 6h/day
**JOB MISSION:** Support management and coordinations in ensuring service operation in accordance with the established work plan, aligned with social assistance policy and institutional mission.
**RESPONSIBILITIES/ATTRIBUTIONS:**
* Ensure proper maintenance and operation of the unit and equipment, mediating necessary actions to resolve demands;
* Manage employee demands related to the Human Resources Department (time tracking, medical certificates, benefits, salaries, statutory charges, institutional policies, leave days, compensatory time off, vacations, periodic medical examinations, among others);
* Ensure proper maintenance and operation of the unit and equipment, mediating actions;
* Monitor implementation of projects and specific initiatives linked to the service, including respective data consolidation;
* Identify partners for courses and projects with support from Institutional Development;
* Monitor deadlines and tasks executed by coordinations according to predefined monitoring criteria set by management;
* Monitor expenditures and financial resource management of units (budgeted vs. actual);
* Account for UBER usage by units;
* Support units’ financial accountability, liaising with the Accountability Department after coordinations complete their tasks;
* Support procurement activities for units, conducted biweekly per unit;
* Monitor transferred demands and support execution—e.g., specific projects involving procurement, budgeting, and targeted actions;
**REQUIREMENTS/SPECIFICATIONS:**
Completed High School education;
Experience in administrative services;
Strong verbal and written communication skills, willingness to perform external duties, flexibility, and proactivity.
Proficiency in Microsoft Office suite;
Preferred: Driver’s license and experience in the third sector.
