Supplier management and operational support Job Mission: Responsible for document and contract management and for meeting deadlines related to Facilities (Soft Services) operations. Manages, controls, and monitors processes to ensure service efficiency and proper functioning. Main Responsibilities and Activities **Document and Contract Management:** Register and upload documents and contracts to a dedicated portal. Monitor document and contract deadlines and expirations, ensuring 100% weekly SLA compliance. Participate in monthly meetings to present the status of documents and contracts. **Procurement Process:** Conduct market research to obtain quotations and proposals for purchasing Facilities (Soft Services) materials and services. Prepare quotation maps. Register purchase orders in the system. Track purchase orders through to approval. Monitor delivery of purchased items. **Facilities Management Support:** Conduct site inspection rounds. Monitor third-party service execution (soft services). Provide support for event execution. **Supplier and Contract Management:** Perform "Due Diligence" for new service providers and renew "Due Diligence" for existing contracted service providers. Monitor and interface with service operations (e.g., express car wash, umbrella rental, and others). Support contract management and oversight of outsourced teams providing services (soft services). Support periodic evaluation of service providers under responsibility. Assist the team with Occupational Health and Safety management and participate in disseminating the Occupational Health and Safety Policy to all service providers. **Operational Support:** Assist users with bicycle parking access card registration. Support other CBRE team members. Organize physical files, network storage, and the document management platform. Support daily operational checklist execution. Support the Operations Director. Update the "actionlog" and "syndic minutes" spreadsheets with critical ongoing topics and pending items, and conduct appropriate follow-up until resolution. Requirements: Experience in condominium management companies.
