We are seeking an Office Operational Management Supervisor to organize and sustain the operations of an expanding office, playing a central role in establishing routines, standardizing processes, and ensuring day-to-day operational fluidity. The position is responsible for centralizing administrative and financial requests, ensuring information control and consistency, and acting as the liaison between the office, leadership, and the finance department—directly contributing to transforming an initially unstructured operation into an organized, efficient, and sustainable environment. ### **Main Responsibilities**
### **Office Operations Management**
* Ensure office functionality (routines, infrastructure, and environment)
* Organize operational requests
* Act preventively
### **Infrastructure and Vendor Management**
* Monitor internet, equipment, maintenance, and supplies
* Manage vendors
* Negotiate contracts and optimize services
### **Operational Centralization and Control**
* Serve as the single point of entry for administrative and financial requests
* Ensure validation before any workflow proceeds
* Organize routines and standards
### **Interface with Finance**
* Receive, verify, and validate invoices and documents
* Ensure consistency of amounts, nature, and cost centers
* Submit validated information

### **Cost Control and Analysis**
* Monitor office costs
* Identify excesses and inconsistencies
* Provide critical insight into expenditures
### **Contract Management**
* Manage already-validated contracts

* Collaborate with outsourced IT
* Resolve office technology requests
### **Administrative and HR Support**
* Support onboarding processes
* Organize administrative requests
### **Budget Management**
* Control monthly budget (e.g., paid traffic)
* Monitor corporate card usage
* Anticipate overspending risks

### **Technical Requirements**
* Experience in administrative and operational routines
* Experience in structuring and sustaining operations outside the main headquarters, such as:
* Branch supervisor
* Unit manager
* Decentralized office management
* Experience in vendor management
* Ability to structure processes and routines
* Organization and tracking of requests
* Basic financial literacy (costs and validations)
* Ability to prioritize and execute
