**JOB: ADMINISTRATIVE ASSISTANT**
**Erasto Gaertner Hospital \- Joinville Unit**
· Serve internal and external clients in person and by telephone, providing sector-related information and making necessary referrals;
· Organize, control, and maintain up-to-date files and documents related to the sector;
· Maintain organization of the administrative workstation;
· Prepare, update, and maintain spreadsheets and other information control tools related to the sector;
· Prepare documents, reports, and official letters upon request from supervisors, and arrange distribution and/or forwarding of documents, letters, or reports to various departments within the institution;
· Receive, forward, and/or file correspondence, reports, and general documents;
· Check and/or record pending items and ongoing cases to ensure continuity of service;
· Promote interdepartmental communication with all sectors and departments to improve internal processes;
· Request transportation, maintenance, and/or repairs as needed, via service orders in an automated system, directed to the responsible department;
· Accompany and guide patients and their families through administrative routines related to the sector;
· Organize, control, and maintain up-to-date files and documents related to the sector and patients;
· Open outpatient consultation appointments;
· Open triage appointments for respective specialties;
· Open patient appointments;
· Identify patients and companions, and register visitors according to sector procedures and guidelines;
· Assist other team members with matters related to the sector’s administrative routines;
· Understand the sector’s routines and prioritize tasks according to instructions and directives from immediate supervisors, among other related duties.
**Requirements:**
\- Completed high school education.
\- Professional experience in public service and administrative routines within a hospital services environment will be considered an advantage.
