We are seeking an IT Operations Coordinator to directly manage, streamline, and monitor demands across the department’s four units: Infrastructure and Security Software Development and Artificial Intelligence Employee Support Content Creation The role’s primary focus is operational coordination, demand management, routine organization, and cross-departmental alignment—enabling the technical team to work efficiently while allowing the CTO to concentrate on high-level strategy. Responsibilities Operational Management and Monitoring Organize, prioritize, and monitor demands from the four technology units. Ensure adherence to deadlines, internal SLAs, and weekly deliverables. Conduct ongoing follow-up with responsible parties for each demand. Create simple monitoring reports and dashboards. Administrative Team Management Track attendance, working hours, time-off balances, and absences. Schedule vacations, leaves of absence, and manage required documentation. Oversee onboarding and offboarding processes for department staff. Maintain up-to-date lists, system access rights, permissions, and employee status records. Cross-Departmental Communication Serve as the liaison between Technology and HR, Finance, Internal Support, and other departments. Forward requests, documentation, and necessary approvals. Ensure the CTO receives only what is truly needed—and in a structured format. Organization and Productivity Structure presentations, meeting minutes, briefings, and alignment materials. Establish standards for communication, routines, and internal workflows. Prepare weekly executive summaries for the CTO. Strategic Support Assist in prioritizing unit backlogs. Suggest process, communication, and organizational improvements. Identify bottlenecks and help the CTO maintain a realistic view of operations. Required Qualifications Experience in team coordination, leadership, or management. Exceptional organizational skills, with strong focus on processes and deadlines. Strong written and verbal communication skills. Ability to conduct structured follow-ups and track deliverables. Proficiency in documentation, presentation creation, and report writing. Desired Qualifications Basic understanding of technology, innovation, IT, or digital products. Familiarity with SLAs, backlogs, checklists, and agile methodologies. Fundamental knowledge of administrative management (vacations, time tracking, HR documentation). Experience with Notion, Trello, ClickUp, or similar tools.
