Process organization and excellence Receptionist Position Description A professional responsible for ensuring friendly, efficient, and welcoming service—both in-person and via telephone—acting as an administrative support point for the company’s smooth operation. Performs administrative routines, manages schedules, expenses, light vehicle fleet, and support services, using clear and assertive communication, with emphasis on service excellence, process organization, and deadline compliance. Responsibilities * Receive, guide, and direct visitors, employees, and service providers to the respective departments; * Answer internal and external calls via PABX, forwarding calls promptly and accurately; * Manage and\-mails, performing proper screening and routing; * Organize and dispatch documents and items via postal service and courier companies; * Make hotel, flight, vehicle rental, and taxi service reservations; * Administer and organize drivers’, consultants’, and internal meeting schedules; * Monitor light vehicle fleet usage, schedule drivers (in-house and third-party), track costs, and verify vehicle conditions; * Monitor and validate administrative expenses (postal service, notary offices, tolls, accommodations, rentals, driver meals); * Record expenses, register maintenance activities, and manage material reservations in the system; * Verify and forward invoices for payment, ensuring accurate entries; * Open and monitor building maintenance and common area service requests; * Control departmental keys, maintaining organization and security; * Ensure proper functioning of reception communication tools.
