Organization and maintenance of records and occupational health and safety support **Job Description: Administrative Assistant – Human Resources Department** Consolidate, execute, and control Human Resources Department routines, ensuring accurate recording of individual and collective employee information, compliance with labor legislation, and continuous improvement of company and individual conditions. **Main Responsibilities** * Execute hiring, termination, and contractual change processes, complying with applicable legislation when required; * Perform daily control and verification of electronic timekeeping, hour bank, absences, and overtime; * Support and verify monthly payroll closing, including meal vouchers, benefits, commissions, and work schedules; * Support and administer benefits (transportation vouchers, fuel vouchers, food baskets, and others) on a monthly basis; * Organize business travel vouchers upon request; * Attend to employees as needed; * Verify travel expenses and forward them to Finance when required; * Submit documents and information to Accounting, meeting deadlines and protocols as required; * Support recruitment, selection, and hiring processes when requested; * Periodically organize and keep physical and digital employee files updated; * Support training, development, performance evaluations, and feedback activities when required; * Provide occupational health and safety support (PPEs, uniforms, ID badges, and ASOs), according to demand; * Control PPEs, distribute them, and monitor proper usage on a weekly basis; * Request PPE quotations when necessary; * Support the organization of corporate events, training sessions, lectures, and assistance to Management and Executive Board when requested; * Conduct individual employee cost analyses, linking production and cost to support monthly management; * Prepare the department’s monthly cost spreadsheet; * Provide weekly reports to Management / Executive Board on tasks performed; * Update the Solides management platform as required; * Perform other functions relevant to the department as required. **Frequent Activities** * Monthly verification of timekeeping, work schedules, and hour bank; * Monthly control of benefits and deductions; * Monthly payroll closing; * Biweekly organization of files and documents; * Support for periodic performance evaluations, feedback, and career plan follow-up; * Occasional support for management meetings and strategic people initiatives. **Requirements:** **Education** * Completed high school; * Technical or undergraduate degree in Administration, Human Resources, or related fields is desirable. **Technical Knowledge** * HR Department routines; * Labor legislation (CLT); * Payroll and electronic timekeeping systems; * Microsoft Office suite (especially Excel). **Experience** * Prior experience in an HR Department is desirable.
